Income Reconciliation Accountant

What are we looking for

We are seeking a qualified and detail-oriented Income Reconciliation Accountant to take ownership of our digital and physical income ecosystem and financial reconciliations. In this key role, you will manage high-volume payment platforms, maintain pristine accounting records, and serve as the bridge between our fundraising team and finance team.  The successful candidate will be comfortable operating in a lean NGO environment, strengthening systems and processes, and solving problems proactively.

Purpose of Role

The core purpose of this role is to ensure complete revenue integrity and operational control over the company’s income ecosystem.  It connects raw transaction data to accurate financial books.

This role ensures that the organisation’s financial records are accurate, complete, timely and compliant with applicable accounting standards, statutory requirements, donor obligations and internal policies. This position also helps to make sure the records of fundraising team and financial system are matched.

Key Responsibilities

Platform and Gate

• Recommend new income platforms / gateways and the relevant workflow
• Update financial records in the CRM system, reconcile incoming donations/grants, and draft annual contribution statements for donors.
  

Audit, Tax, Compliance and Internal Controls

• Perform detailed reconciliations on a timely basis for all payment platforms (without limitation to, Stripe,
• Paypal, Global Payments and BBMS)
• Record and update revenue transactions, fee breakdowns, and journal entries in the accounting system in an accurate and timely manner.
• Ensure compliance with corporate policies, tax and financial rules / regulations in relevant jurisdictions.
• Support audit works with required documentation and responses.
• Support communication with donor, annual review and other assurance activities
• Assist in period-end closing tasks and produce revenue-related information for management accounting team

Systems, Tools and Process Improvement

• Improve the effectiveness of the accounting system, reporting processes and financial data structures.
  Use Google Sheets, Excel and other tools to improve reconciliations, reporting packs, analysis and controls.
• Identify opportunities for automation, simplification and standardisation.
• Develop practical templates, dashboards, checklists and process documentation to improve consistency and reduce manual errors.
• Continuously refine reconciliation processes and internal controls around payment gateways to optimize efficiency and accuracy.
• Coordinate with fundraising team to make sure the records in different systems are matched.

Requirements

Technical Skills and knowledge

• Understanding of relevant accounting standards, with IFRS knowledge desirable.
• Exposure to different GAAPs or statutory environments, including Hong Kong, Mainland China, Vietnam, UK, US or Australia, would be an advantage.
• Strong Excel and Google Sheets skills, including complex reconciliations, analysis and reporting.
• Familiarity with Sun Accounting or similar ERP/accounting systems, eg Netsuite.
• Experience with Tableau, Power BI, Power Query or other reporting/data tools would be an advantage.
