Position Summary:

The Import Coordinator (IC) reports to the Import Manager and manages import documentation for inbound shipments, including lot creation, goods receipt, container tracking, and arrival reporting.


The Import Coordinator also processes post-clearance warehouse inbound receipts and related tasks, including updating clearance status, segregating rejected cartons from cleared lots, and actioning rejected cartons for rectification or supplier claims. The Import Coordinator escalates issues with lot creation and receiving, supplier documentation, container release for pickup, and USDA presentation to the Import Manager for resolution.


The role offers cross-department collaboration internally and regular contact with suppliers and logistics vendors externally. The Import Coordinator will also contribute to supply chain continuous-improvement initiatives, including issue definition, solution identification, and IT systems testing before deploying new enhancements. The ideal candidate is highly organized, detail-oriented, and able to prioritize multiple demands in a fast-paced environment.


Principal Duties and Responsibilities:

40% — Warehouse Inbound Receipts & Clearance Processing

  • Collect and process warehouse inbound receipts.
  • Update lot clearance status.
  • Segregate rejected lots into the claims workflow and action rejected cartons for rectification or supplier claims.

 

20% — Container Tracking & Arrival Reporting

  • Audit supplier shipping files.
  • Track containers and produce arrival reports.

 

20% — Import Documentation & Lot/Shipment Creation

  • Handle supplier ISF (10+2) documentation.
  • Create associated lots and shipments.

 

10% — Supplier Documentation & PO Receipts

  • Handle supplier copy documents and associated purchase-order receipts.

 

10% — Other Duties

  • Perform other duties and responsibilities as assigned.


Education, Experience & Other Skills:

  • Associate’s or Bachelor’s degree preferred.
  • 2+ years of work experience in logistics.
  • International shipping and importing experience preferred.
  • Proficient in MS Office Excel, Outlook, and Word.
  • Experience in Salesforce, Rootstock ERP, and Revenova TMS preferred.
  • Experience in other ERP systems preferred but not required (Adobe, SAP, Oracle, Great Plains, or similar).
  • Strong organizational and time-management skills to prioritize multiple demands.
  • Strong analytical and problem-solving skills with attention to detail.
  • Strong verbal and written communication skills for prompt, professional issue resolution.
  • Ability to lead by example as a subject-matter expert (train, delegate, mentor, and supervise staff).
  • Judgment to work independently within scope of authority and escalate as circumstances require.


Physical Requirements:

  • Ability to sit for extended periods while working at a computer.
  • Regular use of a computer, keyboard, and phone.
  • Ability to communicate clearly via phone, video, and email.
  • Occasional lifting of items up to 10 pounds (e.g., office supplies).
  • Ability to concentrate and work effectively in a home office environment.
  • Must be able to travel occasionally (approximately 2 to 3 times per year), including overnight trips, by car, plane, or other modes of transportation.
