Orgenesis is seeking a highly organized, detail-oriented, and people-focused Human Resources Coordinator to support the daily operations of the Human Resources department. This role is responsible for coordinating HR activities such as recruitment support, onboarding, employee records management, benefits administration, compliance tracking, and employee engagement initiatives.
The Human Resources Coordinator plays a key role in ensuring a positive employee experience and smooth HR operations across the organization. This position supports Orgenesis’ mission of advancing cell and gene therapy solutions through its global POCare™ platform by helping build and maintain a strong, compliant, and engaged workforce.
The ideal candidate is professional, proactive, and capable of managing multiple HR functions in a fast-paced, regulated environment.
Essential Responsibilities
HR Administration
- Provide administrative support for day-to-day Human Resources operations.
- Maintain accurate and confidential employee records and HR files.
- Prepare HR documents including employment letters, policy updates, and internal communications.
- Assist with HR reporting, tracking, and data entry tasks.
- Ensure HR documentation is properly organized and maintained.
Recruitment & Talent Support
- Assist with job postings across recruitment platforms and job boards.
- Coordinate interview scheduling and candidate communication.
- Support resume screening and applicant tracking system (ATS) updates.
- Assist recruiters with sourcing and candidate pipeline management.
- Participate in recruitment events and hiring initiatives as needed.
Onboarding & Offboarding
- Coordinate onboarding processes for new hires, including documentation and orientation scheduling.
- Ensure completion of new hire paperwork and system access requests.
- Support employee offboarding processes, including exit documentation and system deactivation.
- Maintain onboarding checklists and ensure compliance with procedures.
- Facilitate smooth employee transitions into and out of the organization.
Employee Records Management
- Maintain and update employee data in HRIS systems.
- Process employee status changes such as promotions, transfers, and terminations.
- Conduct routine audits of employee records for accuracy and compliance.
- Ensure confidentiality and proper handling of sensitive employee information.
- Support compliance with record retention policies.
Benefits Administration Support
- Assist employees with benefits enrollment, changes, and inquiries.
- Support open enrollment processes and benefits communication.
- Coordinate with benefits providers and vendors as needed.
- Maintain benefits records and documentation accuracy.
- Help resolve basic benefits-related employee questions.
Employee Engagement & Relations
- Support employee engagement programs and HR initiatives.
- Assist with employee recognition activities and wellness programs.
- Respond to employee inquiries regarding HR policies and procedures.
- Help maintain positive employee relations and workplace culture.
- Support internal communications and HR announcements.
Compliance & Policy Support
- Assist in ensuring compliance with labor laws, company policies, and HR regulations.
- Support HR audits and documentation reviews.
- Help maintain employee handbook and policy documentation.
- Ensure confidentiality and data protection compliance.
- Report compliance concerns to HR leadership.
Training & Development Coordination
- Assist with scheduling employee training sessions and workshops.
- Track training completion and maintain records in HR systems.
- Support learning and development programs.
- Help coordinate professional development initiatives.
- Assist with onboarding training programs.
Cross-Functional Collaboration
- Work closely with Payroll, Finance, Operations, Compliance, and Department Managers.
- Support organization-wide HR initiatives and projects.
- Facilitate communication between employees and HR leadership.
- Assist with HR system updates and process improvements.
- Participate in HR team meetings and planning sessions.
Required Qualifications
Education
- High School Diploma or GED required.
- Associate’s or Bachelor’s Degree in Human Resources, Business Administration, Psychology, Communications, or related field preferred.
Experience
- 1–3 years of experience in human resources, administrative support, recruiting coordination, or office administration.
- Experience working with HRIS and ATS systems preferred.
- Experience in healthcare, biotechnology, pharmaceutical, or regulated industries is a plus.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with HRIS platforms (e.g., Workday, BambooHR, ADP, UKG, or similar).
- Familiarity with Applicant Tracking Systems (ATS).
- Strong organizational and data entry skills.
- Ability to manage confidential information securely.
Preferred Qualifications
- Bachelor’s Degree in Human Resources or related field.
- HR certification (SHRM-CP, PHR) is a plus.
- Experience supporting remote or global teams.
