Associa is seeking an experienced HR Services Specialist to provide responsive, practical HR support to employees and leaders across multiple states. You will serve as a trusted resource for everyday HR questions, guide employees and leaders through key processes, and help ensure every interaction with HR is timely, accurate, and helpful. What You’ll Do

 

Deliver an Exceptional HR Experience

  • Serve as a primary point of contact for employees and leaders seeking HR assistance
  • Respond to questions with professionalism, empathy, accuracy, and a strong sense of urgency
  • Guide employees and managers through HR policies, programs, systems, and processes
  • Take ownership of requests from initial contact through resolution
  • Identify when matters require additional expertise and coordinate timely escalation to the appropriate HR partner

Provide Multi-State HR Support

  • Apply HR policies and employment practices consistently across multiple states and jurisdictions
  • Research state-specific requirements and help ensure HR processes reflect applicable employment laws
  • Support a broad range of employee lifecycle activities, including onboarding, employment changes, transfers, leaves, and separations
  • Maintain accurate documentation and records in accordance with company practices and applicable requirements
  • Partner with HR leaders and specialists to resolve more complex employee matters

Solve Problems and Improve Processes

  • Evaluate employee and manager questions, gather the necessary information, and determine practical next steps
  • Balance employee needs, business requirements, policy guidance, and compliance considerations when recommending solutions
  • Recognize trends and recurring issues that may indicate a process, communication, or training opportunity
  • Help create and maintain job aids, templates, standard responses, and employee-facing resources
  • Recommend improvements that make HR services easier, faster, and more consistent

Use Technology to Make HR Work Better

  • Navigate HR systems and service platforms to research questions, process requests, and maintain accurate information
  • Help employees and leaders confidently use available HR tools and self-service resources
  • Track requests, document resolutions, and maintain appropriate confidentiality
  • Participate in testing, implementation, and continuous improvement of HR technology and workflows
  • Use available information and reporting to identify patterns and support informed decisions

Build Strong Partnerships

  • Develop trusted relationships with employees, managers, HR partners, and cross-functional teams
  • Communicate clearly and adapt your approach based on the audience and situation
  • Collaborate across teams to resolve issues and deliver a seamless employee experience
  • Maintain confidentiality and exercise good judgment when handling sensitive information

 

Qualifications

What You Bring

  • Required multi-state HR experience, including experience supporting employees and managers across different state employment requirements
  • Three or more years of progressively responsible human resources experience
  • Working knowledge of employment practices, HR policies, and the employee lifecycle
  • Experience using an HRIS, case-management platform, ticketing system, or other HR technology
  • Strong customer-service skills and a demonstrated ability to manage questions and concerns with professionalism and empathy
  • Sound problem-solving and decision-making skills
  • Strong research, organization, follow-through, and attention to detail
  • Ability to manage multiple priorities in a fast-moving environment
  • Clear and professional written and verbal communication skills
  • Ability to handle confidential and sensitive information appropriately
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams
  • Experience with ADP Vantage is strongly preferred
  • Bachelor’s degree in human resources, business administration, or a related field is preferred; equivalent relevant experience will also be considered
  • PHR, SHRM-CP, or another recognized HR certification is a plus
