Profile Requirements:
- Experience Level: Proven experience in administrative support, healthcare admin, HR admin, medical records, or similar documentation- focused roles.
- EMR Experience Preferred: Familiarity with EMR systems (KIPU strongly preferred) or willingness to learn; comfort working within structured documentation systems.
- Strong Attention To Detail: Able to catch missing documents, incorrect dates, or incomplete information and follow up as directed.
- File And Document Management Skills: Comfortable organizing digital files in Google Drive, working from checklists, and maintaining clear documentation.
- Comfort With Sensitive Information: Able to handle confidential patient and staff information responsibly and professionally.
- Clear Communication And Trainability: Strong written English, able to follow instructions, ask clarifying questions when needed, and comfortable using tools such as Google Sheets and AI platforms for daily tasks; industry experience in mental health or substance use treatment preferred but not required.
Core responsibilities:
- EMR Record Checks: Review KIPU documentation for basic accuracy and completeness (dates, pre-admission vs admission, missing fields), note inconsistencies, and keep a simple running list of items that need correction.
- Staff File Organization: Use provided checklists to review Google Drive staff folders per location and confirm required onboarding and HR documents are present (ID, Social Security, signed I-9, job description, offer letter, and related items), then flag anything missing.
- Credential Tracking Support: Help track license and credential expiration dates, update shared tracking sheets, and notify leadership of upcoming expirations.
- Therapy Note Entry: Input therapy and case management highlights into existing templates when delegated, using session summaries, Google Sheets, and clear internal instructions.
- AI-Based Draft Assistance: Use approved AI tools to expand short session highlights into template-ready notes when needed, then review for basic accuracy before submitting.
- General Administrative Support: Provide day-to-day admin support to operations and billing-related tasks as assigned, follow instructions carefully, and communicate progress clearly to the team.
