Position Overview

 

Work together with various wineries and experience an exciting, fast-paced career as a group program specialist. Adelman Travel is searching for an adaptable self-starter who is highly organized and an effective communicator to join our collaborative team environment. Use your established event management skills to help manage the design and logistics of various wine group programs for our luxury vacation travel division, Food & Wine Trails.

 

How You’ll Contribute to Our Mission

 

  • Develop and manage all aspects of a portfolio of group programs including contracts, budgets, registration sites, event planning, client documents and reporting utilizing Excel, Cvent, Microsoft Planner and Publisher.
  • Work closely with the client and develop a strong relationship by ensuring their needs are understood, goals are being met, programs are on track and all updates are communicated.
  • Liaise with cruise line partners to monitor inventory, communicate event requests and finalize program details.
  • Identify group needs and collaborate with the internal land tour department to share feedback and recommendations on the effectiveness of current and future offerings. 
  • Work closely with the booking department and effectively communicate group program specifications, updates, and waitlist procedures.
  • Provide exceptional onsite and offsite destination support and management for wine groups and tours.
  • Ensure a high-level of customer service by promptly responding to and resolving client questions and concerns as well as anticipating potential problems and immediately identifying solutions to avoid customer service issues. 

 

What Makes You a Great Fit

 

  • Five plus years’ experience in group or event planning, with an emphasis on international destinations. 
  • Excellent communication skills, with the ability to convey information in a manner can be easily understood by others; ability to write creative content is a plus.
  • Strong interpersonal skills with the ability to effectively build relationships.
  • Adaptable self-starter, who is organized and able to effectively prioritize and manage multiple projects in a fast-paced, deadline driven environment, with a focus on attention to detail.
  • Aptitude and ability to learn and familiarize yourself with travel industry process and terminology as well as with new and ever-changing technology.
  • Proficient with Microsoft Office products (Word, Excel, Planner, Publisher, and Outlook).
  • Familiarity with Cvent is a plus.
  • Ability to occasionally travel on an annual basis to select domestic and international destinations

Core schedule Monday - Friday; flexible start and end times, some evenings and weekends may be necessary.
