You’re a proven EA/PA (ideally 5-6 years of experience working with senior execs in a fast-paced environment) who thrives on the buzz of being the trusted partner to company leadership - driving a business forward. You’re seeking a remote role that gives more flexibility, while still having meaningful responsibility in a role where your efforts make a difference. temporary, part-time basis, starting around mid-October to allow for a handover with the current EA who is going on maternity leave.

Your role covers two areas of responsibilities:

  • Working with the CEO as an EA,

  • Working with the COO as an office manager, supporting the wider team with company ops requests

You're equally happy protecting the CEO’s time as you are helping a team member with a travel request, processing an invoice or organising a company event.

You have an instinctive ability to know what needs to be done next. You’re not phased by having to juggle multiple tasks - you’re able to prioritise and organise. You have a knack for identifying the most efficient way to get a job done. You naturally have a strong attention to detail, your reflex is to double-check key documents for mistakes. You’re comfortable with numbers (no need to be a mathematician) - and handy with a spreadsheet.

You’ve likely previously helped manage invoicing and collating expenses.

your responsibilities.

  • Inbox management: flag urgent emails and track incoming comms

  • Diary/Calendar management: gatekeeping time and scheduling all meetings/appointments

  • Organise domestic and international travel, including flights, lodging, and logistics

  • Personal Admin as needed

  • Internal event organisation - team day planning, organising, booking, and budgeting

  • Working strategically with our CEO to help optimise their time

  • Creating new processes and systems to help the CEO be as effective as can be

  • Tracking key actions that are in the CEO’s court, and arranging follow-up to ensure action

  • Finance Admin - covering expense, invoicing, maintaining internal records for submission to our accounting partners to process payroll

  • Managing team travel requests, including reviewing/approving requests and making bookings on behalf of colleagues where required.

  • Acting as an approachable first point of contact for day-to-day team queries, including larger meeting support and questions relating to internal processes, policies and IT.

  • You will be an excellent communicator and team player, you know how to interact with the team and other senior leaders

  • Someone with a genuine “can-do” attitude who is happy to get stuck in, regardless of whether a task is large or small.

  • You have exceptional attention to detail - you always proof important documents to ensure you’ve not made mistakes

  • You think of yourself as creative and a good problem solver. When you encounter a new issue you’re able to take a step back and find an efficient way to solve it

  • You’re dependable. You can be trusted to support critical business process.

Tools you’ll be comfortable with (or can learn quickly).

  • g-suite of products (gsheets, gmail, word)

  • Xero (invoicing)

  • Slack

  • Experience with an expenses management tool/system (we use Xero)
