We're looking for a Founder's Associate to support two senior leaders across client management, recruiting operations, documentation, and weekly reporting at Hire Overseas. This is not a traditional EA role. You will be embedded directly with leadership, owning real operational responsibilities from day one and growing into a Chief of Staff or equivalent leadership role as the company scales.
This role needs to be your primary professional commitment, not a side arrangement. What You'll Work On
Client and Account Management Support
- Support senior leaders in managing active client relationships and keeping accounts organized and progressing
- Track client status, hiring needs, and open items across all active accounts
- Flag delays, risks, or action items before they become problems
- Maintain organized client records and ensure all documentation is current and accessible
Recruiting Operations
- Review and screen candidates for active client roles using defined criteria and your own judgment
- Keep candidate pipelines organized and moving without needing to be prompted
- Track hiring progress across multiple client accounts simultaneously and surface updates to leadership proactively
- Coordinate candidate communications and scheduling as needed
Documentation and Knowledge Management
- Own documentation across active projects, client accounts, and internal processes
- Create and maintain SOPs, meeting notes, and operational records that are accurate and easy to reference
- Build and improve internal documentation systems so that institutional knowledge does not live only in people's heads
Weekly Presentations and Reporting
- Prepare weekly presentations and status updates for senior leadership review
- Compile data, highlights, and key action items from across client accounts and internal operations into clear, structured reports
- Ensure leadership walks into every weekly review fully informed without having to chase for updates
AI-Native Workflow
- Use Claude, Claude Cowork, Claude Code, or similar AI tools as a core part of how you work every day
- Apply AI to accelerate documentation, research, reporting, candidate review, and any other repeatable task
- Proactively identify opportunities to use AI to remove friction and improve the quality of your output
What You Bring
- Genuine intellectual horsepower and critical thinking — you solve problems before being asked and surface insights rather than just status updates
- Strong proficiency with Claude, Claude Cowork, or equivalent AI tools used daily in a professional context — this is a hard requirement
- Experience in an EA, operations, recruiting coordination, or similar high-ownership support role
- Excellent written and verbal English communication skills with a polished, professional tone
- Highly organized with the ability to manage multiple active workstreams simultaneously without dropping details
- Proactive and self-directed — you do not wait to be told what to do next and you do not need reminders to follow through
- This must be your primary role and career priority, not a secondary commitment
- Genuine ambition to grow into a Chief of Staff or senior leadership position over time
Nice to Have
- Experience in recruiting, staffing, or talent operations
- Background supporting founders or senior executives in a fast-moving startup environment
- Familiarity with Notion, Slack, HubSpot, or similar tools
- Experience building internal documentation systems or SOPs from scratch
- Prior experience in a role that required managing client relationships and internal operations simultaneously
