The Executive Assistant is an exceptional individual with proven discipline, drive to advance and commitment to our team. The Executive Assistant will provide high-level administrative support to the Chief Executive Officer and other senior staff. The Executive Assistant will be team-oriented, self-motivated, resourceful, detail-oriented and enjoy working in a collaborative and fast-paced environment. The Executive Assistant is well-organized, detail-oriented, adaptable, proactive and thrives in a collaborative, fast-paced environment with a strong commitment to accuracy, professionalism, and continuous improvement.
This is a full-time salary-exempt position working a minimum of 40 hours per week working remotely.
Requirements
- Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Arranges travel and accommodation for executives.
- Schedules and attend meetings on behalf of executives, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Performs additional duties as assigned by executives.
- All other duties as assigned.
Knowledge Skills and Abilities (KSA’s):
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Education and/or Work Experience Requirements:
- Able to type a minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- High school diploma or GED required.
- 4+ years or relevant work experience required.
Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state and local standards.
- Must be able to lift and carry up to 10lbs.
- Must be able to talk, listen and speak clearly on the telephone.
