Events Coordinator

About Cowboy Colostrum

Cowboy Colostrum is a female-founded supplement brand making high-integrity, ethically sourced bovine colostrum for hair, gut, immune, skin and muscle health. Our team is creative, collaborative and moves fast, and events and partnerships are a growing part of how we reach customers.

The role

The Events Coordinator supports our Head of Partnerships on the events and partnerships Cowboy runs, from in-store activations and launch events to brand collaborations and creator gatherings. You will report to the Head of Partnerships and handle the planning, logistics and follow-through that keep each program on schedule and on budget. This is a hands-on role with a lot of variety, for someone who likes being the person who makes things happen.

What you'll do

  • Coordinate events from start to finish: venues, vendors, permits, staffing, shipping, setup and teardown.
  • Partner follow-ups and scheduling
  • Tracking deliverables and deadlines
  • Build and maintain timelines, run-of-show documents, packing lists and budgets, and track spend against plan.
  • Event logistics and execution
  • Meeting notes and action items
  • Partner research and outreach support
  • Creative requests and production tracking
  • Quotes, purchase requests, expense tracking
  • Manage guest lists, invitations, RSVPs and day-of check-in for creators, retail partners and press.
  • Support partnership programs with outreach, scheduling, contracts, approvals and logistics with partner brands and retail partners.
  • Ship and track all product requests
  • Reporting and event recaps
  • Work events on site, including some evenings and weekends and manage temporary staff
  • Work with the creative, marketing and influencer teams so signage, assets and content capture are ready for each event.
  • Collect results after each event, including attendance, content, sales and partner feedback, and write short recaps.
  • Keep partner and vendor contacts, contracts and shared trackers organized and current.

What you bring

We are looking for an organized coordinator who keeps many moving pieces straight and communicates clearly with partners, vendors and teammates.

  • 2+ years in events, partnerships or experiential marketing, ideally at a CPG, wellness or lifestyle brand.
  • Experience with event logistics, vendors and budgets.
  • Strong organization and attention to detail, with the ability to track several timelines at once.
  • Clear, professional communication with external partners and vendors.
  • Comfort working independently and asking for help early.
  • Comfort with spreadsheets and project tools such as Google Workspace and Asana.
  • Willingness to travel and to work some evenings and weekends around events.

Nice to have

These are not required, but each would help in this role.

  • Experience with retail activations, in-store events or product sampling programs.
  • Experience with influencer or creator events.
  • Experience with food, beverage or wellness events.
  • Basic photo or video skills for capturing event content.
  • Experience with brand collaborations or co-marketing.
