About the Role
The company is looking for a Project Coordinator to serve as the operational engine behind its standard website project delivery for clients. The Project Coordinator will own templated website projects from kickoff to launch, keep cross-functional teams accountable to timelines, and execute client-facing platform tasks with speed and accuracy. This role is a great fit for someone who thrives on organization, doesn't need to be told twice to update a status, and enjoys being the person who keeps a project moving.
Responsibilities
Own Basic Templated Website Projects
- Manage all standard templated website projects for clients, from kickoff through launch.
- Organize and assign tasks within the project template at the start of each engagement.
- Hold cross-functional teams (Accounts, SX, Engineering, and Digital Ads) accountable to the established timeline.
- Drive projects to launch efficiently, with a focus on speed, accuracy, and clear communication.
- Spot early when a project is drifting from the standard template flow and escalate to the PM or manager.
Execute Client Website Tasks
- Complete client-facing website tasks on the company's platform (copy updates, page edits, etc.) accurately and on time.
- Communicate expected turnaround times clearly for all active requests.
- Escalate tasks to Engineering promptly when they require a dev solution; once escalated, ongoing task and sprint communication shifts to the PM.
- Communicate with clients on the lowest tier (SMB) through email and calls.
- Monitor the intake form and voicemail inbox and escalate in the appropriate manner.
Own Tool Setup & Quality
- Maintain proper project management structure, task creation, assignment, and status hygiene for all projects.
- Ensure accurate client setup and data tracking in the analytics platform.
- Verify correct call tracking configuration for assigned clients.
- Keep tool setup accurate over time, not just at project launch.
Support Client Offboarding
- Execute assigned offboarding tasks as part of the termination project rollout.
- Remove clients from relevant tools, trackers, and platform access as directed.
- Ensure a clean, organized transition off the company's platforms within the offboarding window.
Show Up for the Team
- Come prepared to recurring team touchpoints: bi-weekly team meetings, pod meetings, and 1:1s with a manager.
- Be ready to speak to active project statuses, turnaround times, and blockers.
- Contribute ideas and observations that improve delivery processes during monthly ideas reviews.
What Success Looks Like
- 90%+ of templated projects launch within the standard timeline.
- 100% of new projects have tasks organized and assigned correctly within 48 hours of kickoff.
- Platform-executable client tasks completed within a week, with turnaround communicated at intake.
- Dev-required tasks escalated to Engineering within 3 business days of identification.
- Project management, call tracking, and analytics tools configured correctly for every new project before kickoff.
- All offboarding tasks completed within the designated termination window.
- Consistently walking into meetings with statuses, turnarounds, and blockers already in hand.
Requirements
- Strong organizational skills and comfort managing multiple projects at once.
- Proactive communicator who shares updates before being asked.
- Ability to distinguish what's in scope versus what needs to be escalated, and the judgment to escalate quickly.
- Experience with (or ability to quickly learn) project management, call tracking, and reporting tools.
- Comfortable working remotely and collaborating across teams (Accounts, SX, Engineering, Digital Ads).
- A bias toward action: preferring to fix or flag something rather than wait to be asked.
