Job Description

This Data Entry Specialist role focuses on accurately processing sales-related data and documentation from initial opportunity intake through order completion. You will maintain up-to-date records across multiple systems, support account executives with proposal and order workflows, and ensure all customer-facing documents are accurate, complete, and delivered on time. The position requires strong attention to detail, excellent organizational skills, and the ability to work both independently and collaboratively in a fast-paced environment.

Responsibilities

  • Process incoming A&B opportunities and manage workflow from initial intake through completion.
  • Create and maintain electronic and physical folders for assigned account executives to ensure organized and accessible documentation.
  • Update and maintain accurate data in Salesforce, including opportunity details, stages, and related records.
  • Prepare and process customer proposals, ensuring all required information is complete and delivery occurs by established deadlines.
  • Review proposal formatting for accuracy and consistency before distribution to customers.
  • Coordinate internal approvals with sales managers to ensure proposals meet internal requirements.
  • Distribute finalized proposals to customers and ensure all related communications are documented.
  • Save proposal communications and documentation in appropriate folders and systems for future reference and compliance.
  • Process sales team re-quotes and update opportunity stages in Salesforce to reflect current status.
  • Manage new order processing, including booking orders in Visual according to established procedures.
  • Create and maintain orders across Visual, SOD Database, and Salesforce to ensure data consistency and traceability.
  • Archive dead or lost opportunities in accordance with internal processes and documentation standards.
  • Support overall opportunity flow management between A&B, sales teams, and customers to maintain smooth and timely progression.
  • Assist with data entry and specification management, including transferring detailed specifications into Excel when needed.
  • Collaborate with cross-functional teams to resolve data issues, clarify requirements, and maintain data accuracy across systems.

Skills and Qualifications Required

  • Proven data entry experience with a focus on accuracy and completeness.
  • Experience working with Salesforce for data entry, opportunity management, and record maintenance.
  • Proficiency with Excel for managing and transferring detailed specifications and data.
  • Organizational skills with the ability to manage multiple tasks, priorities, and deadlines.
  • High attention to detail, particularly in documentation, formatting, and data accuracy.
  • Ability to work independently with minimal supervision while meeting established timelines.
  • Ability to collaborate effectively with sales teams and other cross-functional partners in a fast-paced environment.
  • Clerical and administrative support experience related to order entry and documentation handling.
  • Comfort working with sales-related data, proposals, and order workflows..

Work Environment

The role supports a fast-paced sales and operations environment that relies heavily on accurate and timely data entry. You will work extensively with Salesforce, Excel, Visual, and SOD Database to manage opportunities, proposals, and orders. The position offers flexibility to work remotely or on-site at the Randolph office, depending on business needs and arrangements. Work involves regular computer use, digital file management, and coordination with cross-functional teams through electronic communication and shared systems.

This is a Contract position based out of Randolph, WI.

Pay and Benefits

The pay range for this position is $26.00 - $26.00/hr.
