• Manage the day-to-day bookkeeping functions within Xero, including reconciling accounts, processing supplier invoices, maintaining accurate financial records, supporting accounts payable and receivable activities, assisting with payroll where required, and monitoring job costing to provide greater visibility over project profitability.
• Coordinate and manage the administration of construction projects by monitoring quotations from initial enquiry through to acceptance, tracking outstanding quotes, following up clients and suppliers, managing emails, maintaining organised documentation, and ensuring all project information remains accurate and up to date.
• Source building materials and support procurement activities by contacting suppliers, obtaining pricing and availability, comparing quotes, coordinating purchasing requirements, and building strong working relationships to support upcoming construction projects.
• Provide proactive administrative support to the business owners by managing daily office operations, maintaining accurate records, identifying outstanding tasks, following up stakeholders, updating online business information where required, and ensuring projects continue to progress efficiently.
• Communicate confidently with suppliers, subcontractors, clients and the business owners via phone and email, demonstrating strong initiative, proactively following up outstanding information, and confidently managing multiple priorities within a fast-paced construction environment.
• Develop an understanding of construction plans and estimating processes over time, with the opportunity to assist in reading building plans, preparing estimates, and expanding into a broader construction support role as experience and training progress. This capability would be considered a significant advantage and may lead to increased responsibilities and working hours.
