About the Role
This is a part-time role that will support our growing network of contract experts. You'll create an engaging, responsive, and organized community experience while ensuring our experts feel connected, informed, and ready to contribute to fast-moving AI projects.
This role combines community building with operational execution. You'll own day-to-day communications with our expert network, coordinate staffing for new projects, manage onboarding logistics, and maintain the operational data that keeps our workforce running efficiently. You'll also help create programs, communications, and engagement initiatives that strengthen our expert community and encourage long-term participation.
Success in this role comes from exceptional organization, strong communication skills, a customer-service mindset, and the ability to manage multiple priorities in a fast-paced startup environment.
What You'll Do
Community Engagement
- Build and foster an engaged community of contract experts across multiple disciplines.
- Develop regular communications to keep experts informed about new opportunities, company updates, and community initiatives.
- Create programs that improve contractor engagement, retention, and overall experience.
- Build strong relationships with contractors and serve as a trusted point of contact throughout their lifecycle.
- Gather feedback from the community and identify opportunities to improve processes, communications, and engagement.
- Help cultivate a positive, inclusive, and highly responsive community culture.
Contractor Operations
- Manage day-to-day communications with a large network of contract experts.
- Coordinate rapid staffing for new and ongoing projects based on project requirements and availability.
- Answer contractor questions regarding onboarding, scheduling, systems, policies, and project logistics.
- Monitor contractor responsiveness and follow up to ensure staffing timelines are met.
- Coordinate onboarding and offboarding activities for contractors.
Time Tracking & Operational Support
- Collect contractor hours and review submissions for completeness and accuracy.
- Follow up on missing or inaccurate timesheets.
- Maintain accurate records supporting payroll and client billing.
- Assist with operational reporting and workforce planning.
- Help resolve discrepancies related to time tracking, assignments, and project records.
Operational Data & Spreadsheet Management
- Maintain staffing trackers, workforce planning spreadsheets, and operational dashboards.
- Update large operational spreadsheets used to manage expert pools, project staffing, onboarding status, and project metrics.
- Perform quality checks to ensure operational data is accurate and complete.
- Generate reports that support staffing, operations, and leadership decision-making.
- Continuously improve spreadsheet organization, automation, and reporting processes.

Qualifications
- 2+ years of experience in community management, operations, customer success, people operations, or a similar role.
- Experience managing communications with large groups or distributed communities.
- Strong spreadsheet skills (Google Sheets), including organizing large datasets and maintaining operational trackers.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and organizational skills.
- Ability to prioritize multiple projects while meeting deadlines.
- Experience working with contractor populations or contingent workforces is a plus.
- Experience with ATS, HRIS, CRM, or project management tools is a plus.
- Startup experience is a plus.
