Position Summary

The Clinical Support Specialist provides hands-on clinical documentation and implementation support to ensure the successful onboarding of new behavioral health programs, clinicians, and partner sites. This position serves as a clinical resource during Electronic Health Record (EHR) implementation, assisting with documentation workflows, record migration, quality assurance, and compliance monitoring.

 

This role is designed to reduce documentation barriers during periods of growth by providing direct support to clinical teams, reviewing documentation for accuracy, assisting with template completion, and ensuring agency documentation standards are consistently met across all locations.

 

The Clinical Support Specialist works closely with Clinical Leadership, Compliance, Billing, and Operations to promote high-quality documentation, improve workflow efficiency, and support successful implementation of agency systems and processes.

 

Essential Duties & Responsibilities

EHR Implementation & Clinical Documentation Support

  • Support agency-wide Electronic Health Record (EHR) implementation initiatives.
  • Assist clinicians and new program sites with navigating clinical documentation workflows.
  • Help staff complete required documentation within approved EHR templates.
  • Provide one-on-one documentation assistance during new site launches.
  • Support implementation of new documentation templates and workflow updates.
  • Troubleshoot documentation issues and escalate system concerns appropriately.
  • Participate in EHR testing, workflow validation, and implementation meetings.

 

New Site Clinical Support

  • Provide documentation support during onboarding of new partner locations.
  • Assist newly assigned clinicians with treatment plans, diagnostic documentation, service notes, and required clinical forms.
  • Ensure required clinical documents are entered accurately into the electronic health record.
  • Help organize documentation processes during startup phases to promote compliance and efficiency.
  • Support clinical teams during periods of rapid growth or operational transition.

 

Clinical Documentation Quality Assurance

  • Review assigned clinical documentation for completeness, accuracy, and compliance with agency standards.
  • Review and sign clinical documentation when clinically appropriate and within the scope of licensure.
  • Monitor documentation timeliness and completion.
  • Identify missing documentation, errors, or compliance concerns.
  • Communicate documentation deficiencies to Clinical Leadership.
  • Assist with corrective action efforts related to documentation quality.
  • Promote documentation best practices across clinical teams.

 

Legacy Record Support

  • Assist with migration and organization of legacy clinical records.
  • Upload and validate historical documentation within the designated EHR.
  • Verify that required historical records are complete and accessible.
  • Ensure migrated documentation meets agency record retention standards.


Minimum Qualifications

  • Master's degree in Social Work, Counseling, Psychology, or a related behavioral health field.
  • Must possess an active Ohio independent clinical license, including one of the following:
    • LISW
    • LPCC
    • IMFT
  • Supervisor designation (LISW-S, LPCC-S, or IMFT-S) is preferred but not required.
  • Minimum three (3) years of behavioral health clinical experience.
  • Experience reviewing clinical documentation and providing clinical feedback.
  • Experience with Electronic Health Record systems (SmartCare preferred).
  • Strong understanding of behavioral health documentation standards and Ohio Medicaid requirements.
  • Working knowledge of DBH and CARF documentation expectations preferred.
  • Excellent organizational, communication, and time management skills.
  • Ability to work independently while managing multiple priorities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).
