ABOUT THE ROLE
At Momentum Accounting, we’re more than just a remote accounting firm. We’re a people-first, tech-savvy team that helps small businesses grow with confidence. We believe accounting should be empowering, not overwhelming. That’s why we blend smart systems, strategic thinking, and human connection to deliver financial clarity our clients can act on.
The Client Coordinator keeps client work moving. You track documents, open items, and task lists across every client we serve, so the team always knows what’s outstanding, who it’s waiting on, and what happens next. Think of yourself as the assistant to the whole team: accountants, controllers, and leads all lean on you to keep their client work organized and on track.
You’re also the one following up with clients directly, by phone and email, to get what the team needs. You partner closely with the Client Scheduler, who owns everything related to scheduling client meetings. Together, you take the admin chasing off our controllers and senior accountants so they can focus on the advisory work our clients pay for.
WHAT YOU’LL DO
- Track documents across all clients: Maintain a clear, current view of what each client owes us (bank statements, receipts, payroll reports, and other source documents) and what has already come in.
- Own the open items list: Keep open items current for every client. Flag what’s stuck and make sure nothing ages quietly.
- Keep task lists accurate: Make sure client tasks in Teamwork reflect reality, including owners, due dates, and status.
- Follow up by phone and email: Call and email clients for outstanding documents and open items, and log their responses so the team always knows where things stand.
- Support the whole team: Act as an assistant to accountants, controllers, and leads. Organize client files, pull reports, and handle admin requests so senior staff stay focused on high-value work.
- Support restoration clients: Our restoration clients need extra hand-holding. Help keep their documentation organized and complete so their projects keep moving.
- Prep for client meetings: Before client meetings, make sure open items and outstanding documents are summarized and ready for the team.
- Surface recurring issues: Log repeat problems (missing documents, broken bank feeds, slow-to-respond clients) on the issues list so the team can find systemic fixes.
- Build the knowledge base: When a question gets asked twice, help document the answer so the team can find it themselves next time.
RESULTS YOU’LL DRIVE
- Complete client files: Documents arrive on time, and fewer deliverables get delayed by missing information.
- Accurate task tracking: Teamwork reflects reality. No stale tasks, no missing owners.
- Reclaimed senior time: Controllers and senior accountants spend noticeably less time on admin chasing.
- No surprises: Open items are flagged before deadlines, not after.
- Prepared client meetings: The team walks into every client meeting knowing exactly what’s outstanding.
- Fewer repeat questions: The knowledge base grows, and the team finds answers on their own.
OUR CORE VALUES
- Raise the Bar: We don’t aim to keep up; we aim to lead. Whether it’s setting industry standards or creating new ones, we’re always pushing to be the best at what we do.
- GSD (Get Sh*t Done): We move fast, stay focused, and make it happen. When we commit, we deliver. No drama. No excuses. Just results.
- Keep It Real: We believe business should be real and enjoyable. That means being honest, owning our mistakes, showing up with personality… and yes, we laugh a lot too.
- We Give A Damn: We care deeply about our clients, their businesses, and the outcomes we help create. We show up, follow through, and go the extra mile.
