Position Overview 

We are seeking a highly organized, detail-oriented Chief of Staff to support our COO. This role acts as a strategic partner and operational extension of the COO, helping manage priorities, coordinate cross-functional initiatives, and ensure clear communication with internal teams, clients, and external partners. 

This position requires exceptional professionalism, strong written and verbal communication skills, and the ability to operate in a fast-paced environment while supporting executive-level decision-making. 

 

Key Responsibilities 

  • Act as a strategic partner and operational extension of the COO. 

  • Support the COO in managing priorities, schedules, and key initiatives. 

  • Prepare briefing materials, presentations, and summaries for meetings and decision-making. 

  • Ensure follow-up and execution on key action items across leadership teams. 

  • Manage and track strategic initiatives and internal projects across departments. 

  • Use project management tools to monitor progress, timelines, and deliverables. 

  • Coordinate cross-functional teams to ensure projects stay on schedule and aligned with company priorities. 

  • Identify operational inefficiencies and proactively recommend improvements. 

  • Draft professional communications on behalf of the COO including emails, updates, and reports. 

  • Coordinate communications between the COO, leadership team, and external stakeholders. 

  • Participate in meetings with clients and internal teams to ensure clarity, documentation, and follow-up. 

  • Prepare summaries, meeting notes, and action plans after executive meetings. 

  • Build and maintain dashboards, reports, and trackers using Excel and other analytical tools. 

  • Analyze operational or business data to support leadership decisions. 

  • Track KPIs and provide executive-level reporting. 

  • Ensure executive priorities are organized, tracked, and executed effectively. 

  • Maintain strong documentation of projects, workflows, and processes. 

  • Anticipate challenges and proactively propose solutions. 

 

Required Qualifications 

  • Bachelor’s degree in Business, Management, Communications, or a related field. 

  • Excellent written and verbal English communication skills  

  • Strong attention to detail and organizational skills. 

  • Highly logical thinker with strong problem-solving abilities. 

  • Ability to work independently and proactively in a remote environment. 

  • Experience supporting executives or senior leadership. 


Required Skills 

  • Advanced proficiency in Microsoft Excel 

  • Strong experience with project management tools 

  • Strong written communication and executive-level email drafting 

  • Meeting coordination, documentation, and follow-up management 

  • Data organization and reporting 

  • Time management and prioritization 

Preferred Qualifications 

  • Experience working with U.S.-based executives or international teams 

  • Experience in consulting, technology, staffing, or professional services environments 

  • Familiarity with tools such as Microsoft Teams, Slack, Notion, Salesforce, or CRM platforms 

  • Experience preparing executive reports or board-level materials
