Job Overview
We are eager to onboard a detail-oriented Administrative & Operations Coordinator to join our division. You will work closely with our Consultants, Editors, and Student Managers in supporting our clients as they apply to universities across the United States. As such, you will need to demonstrate a high level of judgment, care, and reliability in supporting the division's day-to-day operations.
Our ideal candidate has knowledge and experience in operational, logistical, and administrative roles. The role requires you to proactively monitor timelines, coordinate schedules, and communicate with members of the division to ensure the completion of critical tasks.
Commitment during the college admissions season (August–December) is required due to increased assignment volume and fixed deadlines.

Responsibilities:
- High-Stakes Calendar Management & Scheduling
- Serve as the definitive handler and strategist for team calendars.
- Proactively orchestrate complex internal and external meetings across multiple time zones, deftly navigating urgent deadlines and rapidly shifting priorities to eliminate scheduling friction.
- End-to-End Meeting Logistics & Preparation
- Strategically establish and manage optimized meeting blocks and cross-team schedules.
- Draft and distribute comprehensive meeting agendas in advance.
- Provide live session support (including screen-sharing and leading agendas) to ensure seamless and productive meetings.
- Digital Workspace Management
- Proactively extract, centralize, and validate internal and external data to guarantee absolute precision and real-time accuracy across all operational platforms.
- Strictly enforce standardization across client folders, file-naming conventions, and shared drives, ensuring the digital environment is intuitively mapped, perfectly updated, and optimized for rapid navigation.
- Develop, deploy, and mandate standardized document templates to institutionalize uniform formatting and structure across the division.
- Rigorously audit and update internal documentation to preserve a flawless "single source of truth" as operational requirements evolve.
- Consultant Support
- Verify that all necessary student files, application drafts, and contextual notes are meticulously organized and instantly accessible to consultants before client interactions begin.
- Cross-Functional Communication & Liaison
- Function as the central communication hub for the division.
- Draft, format, and broadcast clear, high-impact announcements via Slack to keep all teams aligned.
- Assertively track and drive accountability across various teams, following up systematically on pending action items to maintain operational momentum.
- Executive Correspondence & Administrative Support
- Draft, polish, and dispatch professional email correspondence on behalf of key stakeholders to optimize their bandwidth and response times.
- Manage high-volume inbox filtering, ad-hoc administrative requests, and precise data entry to effectively shield client-facing staff from cognitive overload.
- Timeline Compliance & Task Tracking
- Partner with the core Operations team to rigorously audit project management tools and workspaces.
- Monitor workflow progress strictly from a timeline and compliance perspective, deploying targeted reminders to guarantee zero missed deadlines during high-velocity peak seasons.
Qualifications
- Bachelor's degree from any Top University in the Philippines
- Prior experience in project management, data analysis, logistical operations, and administrative roles is preferred but not required
- Proficiency in Google Workspace, Slack, and Zoom is required
- Proficiency in Monday.com is preferred
- Exceptional English verbal and written communication skills with a strong command of grammar and lexicon
- Experience in education consulting or college admissions is preferred but not required
- Experience working PST hours is preferred but not required
