Work Schedule: Monday – Thursday: 12:30 PM – 9:00 PM (AEST) Friday: 12:30 PM – 7:00 PM (AEST)
Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.
Who The Client Is: This premier combat sports and martial arts academy is a top-tier training facility located on the south side of Brisbane, Queensland. The center provides high-quality coaching in Muay Thai, Boxing, Brazilian Jiu-Jitsu (BJJ), and Mixed Martial Arts (MMA). It serves a diverse community, ranging from absolute beginners and fitness enthusiasts to professional athletes, all within a supportive and ego-free environment.
Role Overview: We are seeking a highly organised and proactive Virtual Assistant (VA) to support the day-to-day administration of our business. This role requires someone who is detail-oriented, tech-savvy, and experienced with customer service, administration, CRM management, and digital marketing.
We're not a corporate business, and we don't want to sound like one. We pride ourselves on building genuine relationships with our members and communicating in a friendly, down-to-earth, and conversational way. We're looking for someone who can become an extension of our team and communicate with our members as if they're talking to a real person—not receiving a generic or scripted response.
The ideal candidate will be confident using Go High Level, Google Workspace, and WordPress, while being able to manage multiple tasks efficiently with minimal supervision.
Key Responsibilities:
Membership & Administration
- Approve membership waivers and process new memberships.
- Manage membership suspensions.
- Process membership cancellations according to company procedures.
- Manage payment retries and payment rescheduling.
- Maintain accurate customer records.
Customer Service
- Manage and organise the company email inbox.
- Respond promptly and professionally to customer emails and messages in a friendly,
- conversational tone.
- Provide exceptional customer service while building genuine relationships with
- members.
- Ensure every interaction reflects our welcoming and community-focused culture.
CRM & Sales Support
- Update and maintain the sales pipeline in Go High Level.
- Create, edit, and optimize workflows, automations, forms, and campaigns within Go High Level.
- Ensure customer information is accurate and up to date.
Marketing Support
- Assist / build out email marketing campaigns.
- Create, edit, and update marketing assets within Go High Level.
- Support ongoing marketing initiatives and promotions.
- Update website content using WordPress when required.
Reporting
- Prepare a daily report outlining completed tasks, customer interactions, outstanding items, and key metrics relevant to the role.
Requirements
- At least 2–3 years of experience in an Administrative Assistant, Virtual Assistant, Customer Support, or similar remote administrative role.
- Minimum 2 years of hands-on experience using Go High Level, including CRM management, pipelines, workflows, automations, email campaigns, forms, and contact management.
- Experience using WordPress.
- Proficient with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar).
- Excellent written and verbal English communication skills.
- Ability to write natural, engaging, and conversational emails and messages.
- Strong organisational and time management skills.
- High attention to detail.
- Ability to work independently and prioritise tasks effectively.
- Previous experience in customer service and administration.
- Understanding of digital marketing and email marketing best practices
Work Arrangement & Expectations:
This is a remote role that will be set up as an independent contractor engagement.
