Job Description:

Join Job Duck as a Billing & Operations Executive Assistant by supporting a dynamic legal team in the Commercial & Corporate practice area. This role offers a unique opportunity to contribute to a collaborative and client-focused environment, where your attention to detail and enthusiasm will make a daily impact. You’ll assist with billing coordination, email and calendar management, onboarding clients, and supporting payroll and document drafting. The ideal candidate is a curious and independent team member who thrives in a fast-paced, professional setting.  • Salary Range: from $1,060 USD to $1,150 USD.

Responsibilities include, but are not limited to:

  • Coordinate billing and prepare invoices

  • Calculate referral fees for external attorneys

  • Assist with payroll and payment tracking

  • Schedule meetings and maintain calendars

  • Open matters in Clio CRM

  • Learn and assist with paralegal tasks as needed

  • Track billable hours and calculate payments

  • Manage email communications

  • Draft basic legal and administrative documents

  • Support client onboarding processes

Requirements:

• Location: Remote
• Time Zone: EST (Connecticut), US.
• Working Hours: Monday to Friday, from 8:30 AM to 5:30 PM EST

• Software/Tools:
• CRM: Clio
• Communication: Slack

Required Skills

•Minimum of 1 year of experience in an administrative assistant role.
•Advanced/native-level English skills (both written and spoken)

• Strong attention to detail

Billing Skills
• Organized
• Comfortable with numbers
• Proficient in Excel/Google Sheets

8:30 AM - 5:30 PM [EST][EDT] (United States of America)
