Position Overview
We are looking for organized, detail-focused individuals to support the day-to-day coordination of client travel arrangements. As a Travel Operations Coordinator, you will help keep reservations, documentation, supplier communication, and important trip details organized from the planning stage through departure.
This role is ideal for someone who enjoys managing details, keeping track of deadlines, researching information, and making sure multiple pieces of a project come together correctly. You may assist with arrangements involving accommodations, cruises, transportation, vacation packages, tours, excursions, and other travel services.
Previous travel industry experience is not required. Training and ongoing support are available to help new team members learn reservation procedures, supplier systems, and travel coordination processes.
Key Responsibilities
- Gather and organize information needed for client travel arrangements
- Research accommodations, transportation, cruises, tours, activities, and other requested services
- Coordinate selected reservations using approved supplier systems
- Track booking confirmations, due dates, client requests, and itinerary changes
- Verify traveler names, dates, destinations, room selections, and other reservation details
- Prepare and organize confirmations and itinerary information
- Communicate booking updates and important deadlines to clients
- Coordinate with supplier partners regarding availability, reservation questions, and modifications
- Assist with processing routine changes and updating client records accordingly
- Monitor outstanding trip requirements and follow up when additional information is needed
- Maintain accurate digital records of reservations and client communications
- Help identify inconsistencies or missing information before travel
- Stay informed about supplier procedures, destination information, and travel-related updates
- Provide professional assistance throughout the planning and pre-departure process
