The Trainer / System Setup Specialist is responsible for configuring digital systems and delivering role-based training to clinical and administrative staff. They ensure system readiness, support go-live activities, and maintain alignment with operational processes across multiple clinic locations.
The Trainer / System Setup Specialist combines end-user training with the controlled setup and configuration of Digital Services systems. The role ensures that systems are correctly prepared for each country and clinic, that users receive effective role-based training, and that training and configuration activities are aligned with project plans, go-live readiness and agreed operational processes. The position is primarily remote but requires regular travel to Affidea clinics for discovery, configuration validation, training, go-live and hypercare support.
Create and maintain project-specific training strategies and detailed training plans covering audiences, learning objectives, delivery method, schedule, locations, trainers, environments, attendance and completion tracking.
Conduct training-needs analysis with Business Owners, Project Managers, subject-matter experts, country teams and clinic representatives.
Develop, review and maintain role-based training materials, including presentations, facilitator guides, user guides, quick-reference guides, exercises, knowledge checks, videos and supporting knowledge articles.
Deliver engaging virtual and classroom-based training to clinical, administrative, operational and support users across Affidea countries and clinics.
Adapt training content and delivery to local workflows, language needs, user roles, system configuration and site readiness, while maintaining agreed group standards.
Coordinate clinic-level training logistics, including participant lists, rooms, equipment, access, training environments, timetables and local communications.
Evaluate training effectiveness through attendance, completion, learner feedback, knowledge checks and post-training support needs, and implement improvements where required.
Provide train-the-trainer sessions and support local trainers, super users or change agents so knowledge can be sustained after implementation.
Perform approved system setup and configuration using documented requirements, configuration workbooks, standard templates and controlled procedures.
Configure agreed system parameters, organisational structures, locations, user roles, permissions, workflows, reference data, templates and other supported settings within the boundaries of the role.
Validate configuration with Business Owners, subject-matter experts and technical teams, ensuring that setup reflects approved requirements and local operating processes.
Maintain accurate configuration records, decision logs, version history and evidence of review and approval.
Support configuration testing, user acceptance testing and regression testing; record results, raise defects and coordinate resolution with the appropriate technical team.
Ensure that system access, test data and training environments are prepared before training and go-live activity, escalating gaps or risks promptly.
Support clinic readiness, go-live and hypercare through on-site floorwalking, user coaching, issue triage, feedback capture and escalation.
Distinguish training, configuration, process and technical incidents, and route issues to the appropriate owner while maintaining clear follow-up.
Work closely with the Project Manager, Change Manager, Business Owner, product teams, vendors and clinic stakeholders to align configuration, training and deployment milestones.
Follow information-governance, data-protection, clinical-safety, access-control and change-control requirements when configuring systems or handling operational information.
Capture lessons learned and reusable assets to improve future training, system setup and deployment approaches.
Bachelor’s degree or equivalent professional experience in training, healthcare operations, digital systems, business applications, informatics, IT or a related field.
Training, instructional design, learning and development, application support or system administration qualifications are desirable.
Fluent professional English; additional Affidea market languages are an advantage.
Full ability to travel internationally and to Affidea clinics as required by project deployment plans.
Practical experience delivering end-user training for digital systems or business applications, through virtual and face-to-face formats.
Experience creating structured training plans and high-quality learning materials for different user groups.
Experience setting up or configuring enterprise applications using controlled processes, predefined options or administration tools.
Experience supporting system testing, user acceptance testing, implementation, go-live or hypercare.
Experience working with project teams, Business Owners, technical specialists, vendors and operational users in a multi-site environment.
Healthcare or another regulated environment is strongly preferred.
