ABOUT THE TEAM

The Tech Expenses team is responsible for ensuring efficiency and governance over the costs of systems and corporate tools at VTEX. We operate at the intersection of technology, finance, and operations: providing visibility, control, and optimization of spending on software, licenses, and digital services used at global scale.

ABOUT THE ROLE

As a Project Analyst in Tech Expenses, you will manage VTEX's corporate systems portfolio, from tracking contracts and invoices to critically analyzing license efficiency and redundancy. You will serve as the focal point between vendors, technology teams, and finance, with the autonomy to propose and implement operational improvements.

RESPONSIBILITIES

  • Cost allocation: Distribute system costs across teams and cost centers, ensuring accuracy in financial reports.
  • Contract management: Track the full lifecycle of software vendor contracts — terms, renewals, SLAs, and negotiated conditions.
  • CAPS records: Internal system for purchase authorization and approval.
  • Invoice confirmation: Validate vendor charges against contracts and actual usage, and manage the approval and payment process.
  • User and license management: Audit active users per system, identify inactive accounts, and propose licensing adjustments to optimize costs.
  • Redundancy analysis: Map overlaps between tools and duplicate users, proposing portfolio consolidations and rationalizations.
  • Travel systems: Administer the corporate travel management platform, ensuring policy compliance and employee support.
  • Peripheral procurement: Coordinate the acquisition of office equipment and peripherals — from quoting to delivery and asset registration.

WHO YOU ARE

  • Solid experience in financial control, procurement, IT operations, or a related field.
  • Advanced analytical skills: complex spreadsheets, reporting, and large volumes of data.
  • Organized and detail-oriented when tracking multiple contracts and invoices simultaneously.
  • Advanced English: reading, writing, and conversation (global environment (meetings and contracts in English).
  • Clear communicator able to engage with international vendors, internal teams, and leadership.
  • Able to prioritize and manage multiple demands in a fast-paced environment.
  • Prior experience with SaaS Management, ITAM, or software license control is a plus.

TOOLS & SYSTEMS

  • Excel/Google Sheets
  • Jira
  • Power BI/Looker
  • IA
  • Travel Platform (Voll, Egencia, Travel Perk)

NICE TO HAVE

  • Experience managing SaaS contracts at global companies.
  • Knowledge of IT Asset Management (ITAM) or Software Asset Management (SAM).
  • Background in finance, controlling, or supply chain.
  • Experience at scale-ups or high-growth tech companies.
