The Systems & Automation Specialist will manage system integrations, oversee automation workflows, and conduct quality assurance to ensure high-quality delivery. They will also serve as a primary client-facing contact for system strategy, troubleshooting, and onboarding analysis.
The Systems & Automation Specialist will support both internal projects and client accounts by streamlining data flow, improving automation, and enhancing overall system performance. This role plays a key part in ensuring high-quality system delivery by overseeing implementations, conducting audits, and serving as a client-facing resource for system strategy, communication, and optimization.
Key Responsibilities
Systems Integration:
Connect client CRMs and platforms (e.g., ServiceTitan, Salesforce, GoHighLevel) with internal systems such as WhatConverts
Design, implement, and manage integrations using Zapier or similar tools to automate workflows and ensure seamless data transfer
Systems Oversight, QA & Implementation Support:
Oversee GoHighLevel and system buildouts completed by team members to ensure accuracy, functionality, and alignment with client goals
Perform quality assurance (QA) on workflows, automations, pipelines, and integrations prior to client delivery
Provide feedback, guidance, and support to team members to maintain consistency and high-quality standards
Step in to support or complete buildouts when necessary
Client Communication & Support:
Serve as a primary client-facing point of contact for system-related updates, questions, and troubleshooting
Communicate project progress, timelines, and system functionality in a clear and professional manner
Lead client walkthroughs and presentations of system setups, automations, and recommendations
Advise clients on best practices for leveraging automation tools to improve efficiency and performance
Systems Audits & Onboarding Analysis:
Conduct audits of client systems (e.g., Monday.com, CRMs, automation platforms) during onboarding or transition phases
Analyze existing setups to identify inefficiencies, gaps, and opportunities for improvement
Provide clear, actionable recommendations for system optimization, automation, and potential migrations (e.g., transitioning to new platforms like Jobber)
Collaborate with internal teams to translate audit findings into implementation plans
Data & Reporting:
Support the development and maintenance of internal data and reporting dashboards
Assist with integrating ClickUp and other project management or reporting tools to improve visibility and decision-making
