AI Summary

The specialist will coordinate governance activities for the Board of Governors and the Disciplinary Review Committee, including meeting logistics, documentation, and record management. They will also take ownership of governance projects and identify opportunities to improve operational efficiency.

Are you someone who can bring structure to complex work while confidently engaging with senior executives? Do you enjoy a role that combines high-level coordination with the opportunity to own projects and improve how things are done? Are you known for spotting the details others might miss?

As Specialist, Governance and DRC Support, you will support two important areas of CFA Institute: our Board of Governors governance activities and the Disciplinary Review Committee (DRC). This is a varied role combining executive-level administrative support with governance and DRC operations and project ownership.

You will become a trusted point of coordination for senior stakeholders and volunteers, keeping meetings, records, communications and processes moving while taking ownership of governance projects as they arise. You will also have the opportunity to learn how the work operates, identify better ways of doing things and help evolve the role over time.

What You’ll Do

  • Coordinate activities supporting the Board of Governors and DRC, ensuring meetings, communications, documentation and follow-up are organised accurately and professionally.

  • Take ownership of governance projects, including entity management and other initiatives that arise as priorities evolve.

  • Prepare and distribute agendas, schedules, meeting materials and communications, and produce accurate minutes and action tracking.

  • Maintain confidential governance and disciplinary records, repositories, databases, tracking tools and case management systems.

  • Coordinate volunteer onboarding and offboarding, including conflict-of-interest disclosures, oaths, system access and supporting documentation.

  • Support the annual DRC nominations process, coordinating applications, meetings, interviews, communications and related logistics.

  • Coordinate logistics for Board, DRC, nominations, governance and training activities, including scheduling, travel and meeting support.

  • Work directly with senior executives, Board members, volunteers and colleagues across CFA Institute, adapting your communication style appropriately for different audiences.

  • Support training materials, presentations, workshops and working-group activities.

  • Process reimbursements, invoices and other administrative documentation connected with governance and committee activities.

  • Learn established processes, take ownership of them and look for practical opportunities to make them more efficient and effective.

What We’re Looking For

  • Evidence of successfully managing detailed, deadline-driven work across multiple priorities, with a high level of accuracy and follow-through.

  • Strong executive presence and communication skills, with the judgement to work confidently and professionally with senior and C-suite-level stakeholders, Board members and volunteers.

  • Experience providing high-level administrative, operational, legal or governance support where discretion and attention to detail are essential.

  • Experience preparing professional agendas, meeting materials, minutes, communications or other formal documentation.

  • Demonstrable ability to handle confidential and sensitive information appropriately.

  • A self-starting approach and the ability to take ownership rather than waiting for detailed direction.

  • A broad, adaptable skill set and evidence of successfully handling varied responsibilities rather than working within a narrowly defined remit.

  • Strong organisation and stakeholder management skills, including the ability to keep multiple people, actions and deadlines on track.

  • The confidence to learn an established process and suggest a better approach when you see an opportunity to improve it.

  • Proficiency with Microsoft Office applications and collaboration tools.

Why Join Us

  • Step into a newly created role designed to provide dedicated support as governance and DRC activity continues to grow.

  • Combine executive-level coordination with genuine project ownership rather than focusing solely on routine administration.

  • Work closely with senior executives, Board members, DRC volunteers and colleagues across different areas of CFA Institute.

  • Gain exposure to governance, disciplinary processes, legal-related work and varied projects through a broad and evolving remit.

  • Take ownership of established processes and have the opportunity to improve and evolve how the work gets done.

  • Build deep knowledge across different parts of the organisation in a role that can provide broad professional exposure without promising a predetermined next step.
