About the Role

KLS Workforce Solutions has been retained by a founder running two distinct boutique brands: a public health & healthcare consulting practice and a creative studio specializing in calligraphy workshops, live activations, and private commissions.

Both businesses are intentionally lean, boutique practices with no plans to scale into a large agency. However, to keep operations running seamlessly, the founder needs a sharp, dependable Solopreneur Operations Assistant to take true ownership of administrative, workflow, and organizational details across both ventures.

This is not a traditional entry-level administrative position, nor is it high-level corporate strategy. It is a hands-on, proactive operational support role for someone who thinks alongside the founder, asks clarifying questions, notices missing details, and respectfully flags when a timeline or plan needs adjustment.

Key Responsibilities

  • Content Operations & Cadence

    • Maintain the content calendar across professional networks (LinkedIn), visual channels (Instagram), and newsletter platforms (Substack).

    • Work backward from publishing deadlines to proactively prompt the founder for drafts so newsletters and posts go out consistently. (Note: You manage the schedule and workflow; the founder writes all content.)

  • Business Operations & Administration

    • Send and track contracts and invoices across both businesses to ensure prompt payment.

    • Build and maintain simple, organized onboarding workflows for consulting clients and workshop participants.

    • Document Standard Operating Procedures (SOPs) for recurring processes over time.

    • Coordinate day-to-day logistics for active projects (e.g., tracking materials for a creative workshop or organizing project files for a health curriculum).

  • Proactive Research & Workflow Support

    • Act as a true second set of eyes: research solutions, vet tools or vendors, and present clear recommendations rather than waiting for instructions.

    • Identify friction points in current administrative systems and suggest practical, simple improvements.

Candidate Profile & Qualifications

  • Proactive & High-Detail: You catch small errors, track deadlines independently, and keep contracts and invoices meticulously organized.

  • Adaptable Context-Switcher: Comfortable shifting between healthcare consulting operations and a boutique creative studio.

  • Clear Communicator: Direct, professional, and thoughtful in communication with the confidence to ask questions or push back on unrealistic timelines.

  • Tech Literacy: Proficient with (or able to quickly master) platforms like HoneyBook, Canva, ConvertKit/Kit, and task management software.

  • Self-Directed: Thrives in an asynchronous, priority-driven environment without requiring micromanagement.

What This Role Is Not

  • Not a Full-Time or Agency-Track Position: Built specifically for a stable, low-volume (~15–20 hours/month) partnership with a solo business owner.

  • Not a Copywriting Role: The founder retains full creative authority on content; this role focuses on structure, schedule tracking, and accountability.

  • Not a Reactive Task-List Role: Requires active ownership of the administrative backend rather than static task execution.
