Position Summary:
Revolution Space is hiring its first dedicated Senior Subcontracts Administrator to own and build the subcontracting function from the ground up. As a horizontally integrated aerospace and defense company, we rely on a portfolio of engineering services subcontracts to power our programs.
In this role, you are the administrative and compliance backbone of Revolution Space’s subcontracting activity. Responsible engineers own the vendor relationships and define the technical scope — your role is to ensure that scope is translated into contractually sound agreements, that all necessary paperwork is in place before work begins, and that the health of each subcontract is tracked and visible to the right stakeholders. You will work closely with Program Managers on scope and deliverables, alongside Finance and Program Controls on cost tracking and financial performance, and with Legal and Contracts on terms, conditions, and flowdowns. This is a high-ownership position for a self-directed professional who takes pride in building rigorous infrastructure that enables engineers and program teams to move fast with confidence.
Responsibilities:
• Own the administrative lifecycle of all subcontracts from requirements intake through closeout, including RFP/RFQ issuance, proposal evaluation, award documentation, modifications, and closeout.
• Partner with responsible engineers and Program Managers to translate defined technical scope into contractually enforceable SOWs — ensuring deliverables, acceptance criteria, schedules, and performance standards are complete, clear, and aligned with customer and prime contract requirements.
• Manage Subcontract Data Requirements Lists (SDRLs) and ensure alignment between negotiated scope and prime contract obligations.
• Develop and maintain standard subcontract templates, terms and conditions libraries, and NDAs; propose contract structures that protect Revolution Space’s interests and allocate risk appropriately.
• Administer change orders and subcontract modifications with disciplined documentation and scope control throughout the period of performance.
• Track the health of all active subcontracts across cost, schedule, deliverables, and compliance; maintain clear visibility for responsible engineers, Program Managers, Finance, and Program Controls.
• Monitor subcontractor-reported progress against contractual commitments; surface variances, risks, and issues to the appropriate internal owners in a timely and organized manner.
• Perform cost and schedule variance analysis; maintain commitment tracking and ensure subcontract financial data is accurate and current.
• Coordinate closely with Finance and Program Controls on subcontract cost tracking, accruals, ETC/EAC inputs, and financial reporting; ensure subcontract financials are integrated into program-level cost management.
• Reconcile subcontractor invoices against contract terms and coordinate with Accounts Payable to ensure accurate, timely payment.
• Ensure all subcontract activity is compliant with FAR/DFARS, ITAR, export control, and applicable regulatory requirements.
• Work with Legal and Contracts to analyze and negotiate terms and conditions, manage FAR/DFARS flowdowns from prime contracts to subcontractors, and ensure appropriate contractual risk allocation.
• Support prime proposal efforts including flowdown analysis, subcontract scope documentation, and pricing support.
• Maintain subcontract files and documentation in audit-ready condition in support of DCAA oversight and financial controls.
• Periodically review and redline prime and customer contracts alongside the Legal and Contracts team, providing subcontracts expertise in support of program and business development activities.
• Build Revolution Space’s subcontracting processes, templates, and tools from the ground up; create scalable infrastructure that supports a growing program portfolio.
• Partner with Program Management, Engineering, Finance, Program Controls, and Legal to ensure subcontract activities are well-coordinated and integrated into broader program execution.
• Support make-vs.-buy analysis and sourcing decisions in partnership with program and operations leadership.
Required Qualifications
• Bachelor’s degree in Business Administration, Supply Chain Management, Finance, Contracts, or a related field.
• 8–10+ years of experience managing complex subcontracts in aerospace, defense, or government contracting — enough to walk into any program and immediately understand the risk, structure, and compliance requirements.
• Demonstrated ability to develop clear, enforceable SOWs and SDRLs in coordination with engineering stakeholders, particularly for engineering services engagements.
• Deep, working knowledge oof U.S. Government acquisition laws and regulations (FAR/DFARS required, CAS is a plus).
• Proven experience with import and export laws (ITAR, EAR)
• Experience managing the full subcontract administrative lifecycle across multiple contract types (FFP, Cost Plus, T&M).
• Strong ability to coordinate across functions — Finance, Program Controls, Legal, Engineering, and Program Management — with clear communication and disciplined follow-through.
• Excellent written and verbal communication skills; able to translate effectively between technical, legal, and financial contexts.
• Self-directed, with a demonstrated ability to build administrative process and infrastructure where none exists.
• Able to obtain and maintain a U.S. Dept. of War clearance
Preferred Qualifications
• Experience standing up a subcontracts function in a startup or early-stage defense company.
• Familiarity with modern ERP/program cost tracking systems.
• Experience supporting prime proposal efforts, including flowdown analysis and subcontract pricing.
• Exposure to reviewing and redlining government prime contracts, OTAs, or SIRs.
• NCMA certification (CFCM or CPCM) or equivalent.
