About This Role

This role reports directly to our Chief Operations Officer, Haya Fishman.

We are hiring a Senior Project Management leader to own delivery of our largest, most complex client engagements as well as improve Propela's project management processes with a pathway towards leading Propela's Project Management Office (PMO).


This role is intentionally scoped to balance impact with sustainability. The Senior Project Manager will focus on delivery excellence, PM leadership, and scalable systems, while partnering cross-functionally on tooling and operations.


In addition to client delivery and PMO leadership, this role will lead the implementation and adoption of a PSA tool, acting as the business owner and executive sponsor through selection, rollout, and stabilization.



Key Responsibilities

Client Delivery & Program Leadership

  • Serve as Program Owner on 1–2 high-impact client projects.
  • Act as executive delivery owner across all other active projects (oversight, escalation, guidance).
  • Own end-to-end success of our largest ongoing customer with the support of a Junior PM.
  • Partner with Solution Architects, Engineers, and Client Executives to translate ambiguity into executable plans.
  • Ensure delivery quality, timeline adherence, budget management, and client satisfaction at the company level.
  • Ensure clean transitions from project delivery into support, aligned with Jira Service / helpdesk workflows.



PMO Leadership & Process Ownership

  • Own and evolve Propela's project delivery methodology across fixed-scope, phased, and retainer engagements.
  • Standardize project setup & handoff from sales, resource planning & capacity forecasting, sprint / milestone tracking (Jira-centric), change control & scope management, and client communication, status reporting, and executive updates.
  • Establish delivery KPIs and reporting for leadership (on-time delivery, margin, utilization, risk).
  • Oversee Jira project standards, workflows, and reporting across teams.
  • Drive consistency across PM practices while allowing flexibility for different project types.


People Management & Coaching

  • Directly manage and mentor Project Managers.
  • Set delivery standards, expectations, and success metrics for PMs.
  • Review project plans, status reports, and risk logs across the portfolio.
  • Coach PMs through complex delivery challenges rather than replacing them.
  • Act as escalation support and decision-maker, not a substitute PM.


Delivery & Tooling Stack

This role is not hands-on technical, but requires strong fluency in the tools and systems used to manage complex software delivery in a professional services environment.

Required

  • Jira – advanced usage including project configuration, workflows, sprint planning, backlog management, reporting, and dashboards.
  • Jira Service Management or equivalent helpdesk / ticketing platform (e.g., Zendesk, Freshdesk).
  • Experience managing delivery using Agile and hybrid methodologies (Scrum, Kanban, phased delivery).
  • Strong experience with scope management, change control, and delivery governance across fixed-scope and retainer engagements.

Strongly Preferred

  • Experience implementing and operating Professional Services Automation (PSA) tools such as Accelo, Birdsview, Scoro, or similar.
  • Time tracking, budget vs. actuals reporting, utilization tracking, and delivery forecasting.
  • Resource planning and capacity management in a services-based organization.
  • Proven ability to operate effectively in high-growth startup or consulting settings, where ambiguity, rapid context switching, and process building are required.
  • Prior experience working within healthcare organizations or highly regulated industries, with an understanding of compliance, data sensitivity, and operational complexity.

Collaboration & Documentation

  • Confluence, Notion, or similar documentation tools.
  • Microsoft Teams or equivalent collaboration platforms.
  • Client-facing status reporting and executive-level communication.

Technical Context

  • Experience delivering custom software, system integrations, and data-driven solutions.
  • Ability to partner effectively with Solution Architects and Technical Team leads without serving as a technical implementer.
