Job Description

The Senior Event Manager is responsible for leading the planning and delivery of complex domestic and international incentive travel programs. This role serves as a primary client partner and owns all aspects of assigned programs from planning through onsite execution and post-program reconciliation.

Job Description Details:

Scope of Work

• Lead the end-to-end planning and execution of complex incentive travel programs, including programs of 250+ attendees.
• Serve as a primary client contact, leading meetings, providing strategic guidance, managing expectations, and proactively addressing program needs or concerns.
• Manage all program components, including budgets and timelines, hotels and function space, food and beverage, air and ground transportation, DMCs, activities and experiences, production, merchandise, registration, attendee communications, and event technology.
• Develop creative program concepts, themed events, and destination experiences that align with client objectives and elevate the attendee experience.
• Manage domestic and international travel logistics, including group air, passports and visas, VIP/executive experiences, and other complex attendee needs.
• Own program financials, including budgets, deposits, billing, reconciliation, profitability, and adherence to client contracts and internal financial processes.
• Source, negotiate, and manage hotels, DMCs, transportation providers, activity partners, and other suppliers to ensure quality, value, and timely delivery.
• Lead internal and external project teams, providing direction and mentorship to Event Managers and coordinating effectively across internal support functions.
• Identify and escalate potential risks or project issues and support appropriate contingency, crisis-response, and duty-of-care planning.
• Conduct program debriefs, identify opportunities for improvement, and contribute to client retention and account growth.

Knowledge, Skills, and Abilities

• 6+ years of meeting and event management experience, with significant experience leading incentive travel programs.
• Experience managing domestic and/or international incentive programs with 250+ attendees strongly preferred.
• Demonstrated expertise in complex program logistics, project management, budgeting, and financial management.
• Experience negotiating and managing hotels, DMCs, transportation, activities, and other travel/event suppliers.
• Strong understanding of group travel operations, including air, ground transportation, international travel requirements, and attendee logistics.
• Experience managing executive/VIP attendees and delivering high-touch guest experiences.
• Strong client relationship management, communication, and problem-solving skills.
• Experience leading cross-functional teams and mentoring Event Managers.
• Comfortable managing multiple complex programs and priorities simultaneously.
• Proficiency with Microsoft Office and experience with registration, mobile event applications, and event technology platforms.
• Bachelor's degree or equivalent experience; travel/tourism emphasis preferred.
• CMP, CIS, or other industry certification preferred.
• Ability to travel domestically and internationally as needed.
