The Role
Cardiff is seeking a Salesforce System Administrator to take hands-on ownership of the administration, stability, optimization, and ongoing improvement of our Salesforce environment.
This is not a ticket based Salesforce Administrator role. We are looking for someone who can step into a complex, established Salesforce org, understand how the system currently operates, identify technical debt and process gaps, and independently recommend and implement scalable solutions.
The Salesforce Administrator will partner closely with Salesforce Development, Software Engineering, Product, Data, Sales, Operations, Underwriting, Marketing, and other business stakeholders.
You will be expected to understand the complete lifecycle of a business process before making changes, including what creates or updates Salesforce data, what automation is triggered, which integrations consume that data, how records are assigned and converted, and what downstream processes could be impacted.
When an issue occurs, we expect you to identify and correct the root cause rather than add another workaround or layer of automation.
What You'll Do
- Build, maintain, and troubleshoot Salesforce Flows, including record-triggered, screen, scheduled, and autolaunched Flows.
- Configure custom objects, fields, record types, Lightning pages, validation rules, formulas, reports, and dashboards.
- Manage users, permission sets, profiles, roles, sharing rules, and field-level security.
- Troubleshoot Flow failures, permission issues, automation conflicts, data problems, and other Salesforce issues.
- Troubleshoot record assignment, ownership, routing, and conversion issues across Salesforce automation, assignment rules, integrations, and third-party tools.
- Perform impact and dependency analysis before changing existing automation or configuration.
- Evaluate business requirements and existing Salesforce functionality before introducing new fields, automation, or configuration, and recommend the simplest scalable solution that addresses the underlying business need.
- Test changes in sandbox, support UAT and regression testing, deploy changes, and validate them in Production.
- Proactively communicate planned Salesforce changes, expected business and system impacts, deployment timing, and post-deployment outcomes to relevant stakeholders. Ensure material Production changes are documented and follow established change-management and review processes.
- Support Salesforce integrations and collaborate with the Salesforce and Software Engineering teams on more complex technical issues.
- Support and test managed-package upgrades.
- Maintain data quality through audits, duplicate management, imports, exports, mass updates, and cleanup.
- Build reports and dashboards that provide useful business and operational insights.
- Work directly with stakeholders to translate business requirements into scalable Salesforce solutions.
- Monitor Production and proactively investigate automation failures and recurring issues.
- Maintain documentation and provide user support and training when needed.
Required Qualifications
- Salesforce Certified Administrator, required
- Salesforce Certified Platform App Builder, required
- 5+ years of hands-on Salesforce Administrator experience.
- Demonstrated experience performing root-cause analysis across complex Salesforce automation.
- Advanced experience designing, troubleshooting, and optimizing Salesforce Flow.
- Strong understanding of Salesforce order of execution, security, permissions, sharing architecture, and field-level security.
- Experience working with custom objects, fields, record types, validation rules, formulas, reports, and dashboards.
- Experience supporting integrations between Salesforce and external applications or APIs.
- Experience troubleshooting integration users, API-driven record changes, data mappings, and automation conflicts.
- Experience with sandbox management, UAT, regression testing, deployment, Production validation, and release management.
- Experience with Data Loader or similar Salesforce data-management tools.
- Working knowledge of SOQL for data investigation, validation, and troubleshooting.
- Understanding of Salesforce automation best practices, bulk processing, and governor limits.
- Experience using debug logs, Flow interviews, Flow Trigger Explorer, scheduled jobs, Setup Audit Trail, and other Salesforce diagnostic tools.
- Ability to understand dependencies and downstream impact before making changes.
- Strong communication skills with both technical and non-technical stakeholders.
- Comfortable using AI-assisted tools for research, troubleshooting, documentation, and productivity.
Preferred Qualifications
- Experience in financial services, lending, or fintech.
- Experience with Lead and Opportunity lifecycle architecture, routing, assignment, and conversion.
- Experience supporting and upgrading third-party Salesforce managed packages.
- Experience partnering directly with Salesforce Developers, Software Engineers, Data teams, Product Managers, and business stakeholders.
- Additional Salesforce certifications.
What Success Looks Like
You'll be successful in this role if you can independently troubleshoot Salesforce issues, build reliable automation, understand the impact of your changes, and safely move work from sandbox to Production.
We're looking for someone who focuses on root causes rather than quick fixes, communicates well with both business and technical teams, and proactively helps keep Cardiff's Salesforce environment stable, secure, and scalable.
First 30 Days
- Develop a working understanding of Cardiff's Salesforce architecture, primary business processes, integrations, managed packages, and release process.
- Review the active Salesforce backlog and understand current production issues and business priorities.
- Map critical Lead and Opportunity lifecycle automation and identify high-risk dependencies.
- Begin documenting significant technical debt, recurring issues, and opportunities for improvement.
First 60 Days
- Independently own Salesforce administration and production troubleshooting within the defined scope of the role.
- Resolve priority issues through root-cause analysis rather than temporary workarounds.
- Establish stronger visibility into Flow failures, automation conflicts, integration issues, and Salesforce technical debt.
- Recommend improvements to Salesforce governance, documentation, testing, and release processes.
- Begin reducing or consolidating obsolete and unnecessarily complex automation.
First 90 Days
- Own a prioritized Salesforce improvement roadmap based on business impact, system risk, and technical debt.
- Demonstrate measurable improvement in Salesforce stability, issue resolution, documentation, and release quality.
- Establish clear standards for how new Salesforce requests move from requirements through solution design, testing, UAT, deployment, and Production validation.
- Provide leadership with a clear understanding of the health of the Salesforce environment, major risks, technical debt, and recommended priorities.
