Job Description 
Reporting directly to the Director of Health and Safety, the Safety Administrator provides day-to-day administration of Chronicle Heritage’s Environmental, Health, and Safety (EHS) programs, ensuring compliance with internal EHS standards as well as applicable federal, state, and OSHA regulations across the company’s field and office operations. This role blends safety program administration with workers’ compensation claims coordination, serving as a key liaison among field crews, project leadership, insurance carriers, medical providers, and the Director of Health and Safety.
 
Hire Type: Full-Time (hourly)
Schedule: 40 hours per week, Monday–Friday.
Location: Remote
Travel: Up to 10% as needed
 
Core Strategic Responsibilities
  • Serve as the primary point of contact between Chronicle Heritage and its insurance agencies and carriers, cultivating strong working relationships that support timely, favorable claims outcomes.
  • Partner with Operations leadership to advance company-wide safety goals, objectives, and continuous-improvement initiatives.
  • Champion a culture of safety by supporting employee training, emergency-preparedness planning, and quality assurance across all EHS programs.
  • Lead internal project audits to verify ongoing compliance with company safety policy and applicable federal, state, and OSHA requirements, driving corrective actions to full closure.
  • Exercise sound, independent judgment to investigate and resolve complex coverage, liability, injury, and property-damage matters with minimal supervision.
  • Communicate audit results, safety expectations, and corrective action plans to project leadership, translating regulatory requirements into practical, field-ready guidance.
Essential Functions
Incident & Claims Management
  • Investigate workplace incidents, accidents, and near misses to determine root cause and identify corrective and preventive measures.
  • Support affected employees following an incident, including coordinating access to medical care and maintaining consistent follow-up communication throughout recovery.
  • Gather and document witness statements, photographs, and other supporting evidence for incident reports and claim files.
  • Report workers’ compensation claims to the insurance carrier and manage each claim from initial incident report through final resolution.
  • Coordinate with the insurance carrier, injured employees, medical providers, and the Director of Health and Safety to track claim status, medical treatment, and return-to-work progress.
  • Document all claim correspondence, updates, and supporting records within Egnyte, maintaining organized, audit-ready claim files.
  • Receive assignments, review claim and policy information, evaluate coverage issues, and draft coverage letters.
Compliance & Auditing
  • Conduct internal project audits to verify compliance with company safety policies and applicable federal, state, and OSHA requirements.
  • Document audit findings, identify corrective actions, and follow up to confirm timely closure of open items.
  • Coordinate with project leadership to communicate audit results, safety expectations, and corrective action plans.
Program Administration
  • Uphold relationships and ongoing communication with insurance agencies and internal Chronicle Heritage stakeholders.
  • Provide support to Operations to help achieve departmental goals and objectives.
  • Participate in employee training, emergency preparedness planning, and quality assurance of EHS programs.
  • Work with minimal supervision to recognize, investigate, and resolve complex coverage, liability, injury, and damage issues.
  • Perform additional responsibilities as assigned by the Director of Health and Safety.
Physical Demands & Work Environment
  • Primarily a remote, home-office environment requiring the ability to sit at a computer and use standard office equipment (phone, computer, video conferencing) for extended periods.
  • Occasional travel (up to 10%) to project sites or offices for audits, training, or meetings, which may involve outdoor field conditions and the ability to lift up to 25 lbs.
  • Ability to maintain focus and accuracy while managing multiple concurrent claims, audits, and deadlines.
Qualifications and Requirements
Required Qualifications
  • High school diploma and a minimum of two demonstrated years of relevant experience (safety, claims administration, insurance, or a related field).
  • Valid driver’s license in good standing.
  • Excellent verbal and written communication skills, with strong organizational and interpersonal abilities.
  • Proficiency in Microsoft Office software (Outlook, Word, Excel, PowerPoint, and Teams).
  • Demonstrated ability to multitask across varied and significant matters simultaneously.
  • Ability to meet detailed quality assurance standards and established performance goals.
  • Strong attention to detail and accuracy in documentation.
  • Ability to clearly document work in progress and maintain organized records.
  • Willingness to learn, take direction, and be coachable in a fast-paced environment.
Preferred Skills/Abilities
  • Bachelor’s degree in Safety, Engineering, or a related field.
  • Advanced training or certification in Health, Safety, and Environmental (HSE) management.
  • OSHA 30-Hour Health and Safety Course Certification (Construction or General Industry).
  • Safety Professional Certification (CSP, CIH, or equivalent credentials), or eligibility to obtain one.
  • Working knowledge of OSHA 29 CFR 1910 and 1926 regulations; familiarity with EM 385-1-1 is a plus.
