Position Overview

We are seeking a highly organized and detail-oriented Client Coordinator to support medical review and case management operations. This role is responsible for processing cases through CMS and client portals, reviewing documentation for accuracy, retrieving and uploading medical records, and maintaining accurate data within internal systems.

The ideal candidate thrives in a fast-paced, deadline-driven environment and enjoys working with documentation, data entry, medical records, and client communications. Strong attention to detail, accuracy, and the ability to manage multiple priorities are essential for success in this role.

Key Responsibilities

  • Process cases through CMS and client portals by entering, reviewing, and verifying eligibility and case information.
  • Retrieve medical records from external client systems and upload documentation into internal databases.
  • Review records and supporting documentation to ensure completeness, accuracy, and compliance requirements are met.
  • Prepare, enter, track, and maintain case information across multiple systems and databases.
  • Respond professionally and promptly to client inquiries regarding case status, reports, documentation requirements, and general requests.
  • Communicate regularly with internal teams regarding pending reports, case progress, and workflow updates.
  • Coordinate with physicians, providers, and clinicians to assign cases and obtain required documentation.
  • Monitor case timelines and ensure information is accurately documented and updated.
  • Support the Independent Dispute Resolution (IDR) process by reviewing documentation and ensuring all required records are complete prior to clinical review.
  • Maintain confidentiality and comply with HIPAA, CMS requirements, and company policies.
  • Perform data entry, filing, documentation management, and administrative support functions with a high degree of accuracy.

Required Qualifications

  • High school diploma or equivalent.
  • Strong data entry and administrative experience.
  • Excellent attention to detail and document review skills.
  • Strong written and verbal communication abilities.
  • Ability to navigate multiple systems and databases simultaneously.
  • Comfortable working with medical records, insurance documentation, and confidential information.
  • Strong computer skills and proficiency with Microsoft Office applications.
  • Reliable internet connection and a private workspace suitable for remote work.
  • Demonstrated ability to manage deadlines and maintain accuracy in a high-volume environment.

Preferred Qualifications

  • Previous experience in healthcare, insurance, utilization review, medical records, claims processing, or case coordination.
  • Experience reviewing contracts, legal documents, or detailed reports.
  • Familiarity with CMS portals, eligibility verification, or healthcare administrative processes.
  • Experience working with regulatory and compliance-driven documentation.
  • Knowledge of HIPAA and healthcare privacy requirements.

Job Type & Location

This is a Contract position based out of Dallas, TX.

Pay and Benefits

The pay range for this position is $15.00 - $15.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
