The Recruiting Coordinator will conduct phone screens for subcontractor applicants using provided scripts and maintain accurate candidate data in the tracking system. They will also coordinate with hiring managers to schedule interviews and provide regular updates on the recruitment pipeline.
Location: Remote. Schedule: Part-time, temporary. Primarily evenings and weekends, when our candidates are off job sites and available to talk. Compensation: $22-$24 per hour

The Recruiting Coordinator/Screener is often the first conversation a tradesperson has with Havenside. This person reaches out to applicants, runs structured screening calls using scripts we provide, records exactly what was said, and keeps every candidate's status current so hiring managers always know where things stand. The primary focus is screening subcontractors, with screens for other Havenside positions as needs arise.
Because most of our candidates spend their days on job sites, this role works when they are reachable: evenings and weekends. It needs someone who is persistent without being pushy, who knows when to try a candidate again and when to move on, and who writes notes a hiring manager can act on without a follow-up question. Flexibility, accuracy, and clear communication with both candidates and hiring managers are critical.
Key responsibilities
Candidate outreach
Contact subcontractor and employee applicants by phone, text, and email to schedule or complete screening calls.
Follow a consistent outreach cadence, using sound judgment on when to keep trying a candidate and when to close them out and move forward.
Represent Havenside professionally, answering basic questions about the company and the next steps in the process.
Screening
Conduct phone screens using Havenside-provided scripts for subcontractor and other open roles.
Gather and confirm the details each script calls for, such as trade specialty, years of experience, service area, availability, and licensing or insurance status.
Adapt to screens for different Havenside positions as needs shift, learning new scripts quickly.
Notes and data tracking
Record accurate, complete screening notes immediately after every call.
Track every applicant's status and outreach attempts in the applicant tracking system (JazzHR) and supporting spreadsheets.
Keep candidate data clean and current so pipeline reports are reliable.
Hiring manager support
Summarize screening results and pass qualified candidates to hiring managers with clear, concise notes.
Schedule first round interviews with hiring managers and support documentation of next steps.
Provide regular updates on pipeline status, outreach progress, and any candidates who need a hiring manager's attention.
Flag concerns, patterns, or gaps in the candidate pool that hiring managers should know about.
Required qualifications
Availability to work evenings and weekends, with flexibility to adjust hours as hiring needs change.
Exceptional accuracy in recording notes and data. Hiring decisions depend on what you capture.
Persistence in outreach, with the judgment to know when to follow up and when to move on.
Strong verbal and written communication with candidates and hiring managers.
Comfort following a structured script while keeping conversations natural and professional.
Ability to track and organize data across many candidates at once.
Proficient with email, Microsoft Outlook, spreadsheets (Excel or Google Sheets), and web-based talent software (JazzHR highly preferred).
Reliable, self-directed, and comfortable working independently in a remote setting, with a quiet workspace and dependable phone and internet connection.
Preferred qualifications
Previous experience in recruiting, phone screening, staffing, or high-volume outreach.
Familiarity with the construction or home improvement trades and their terminology.
Experience communicating with tradespeople or subcontractors.
