About this Role
The QC, Case Control & Transcription Officer is a cross-functional role supporting three core operational functions: QC slide inspection, case control ticket handling, and transcription verification. The team will be cross-trained across all three functions with the daily tasks confirmed by the line manager based on operational priority. The role operates on a shift rotation that includes evenings, nights, and weekends, providing extended-hours coverage, including 24/7 coverage for Clinical QC, to support quality, turnaround time, and service continuity across all three functions.
Role and Responsibilities
QC Slide Inspection
- Review and inspect digital pathology slide images against defined quality criteria across non-clinical archive, Clinical, and GLP-regulated studies.
- Identify and flag image quality issues for escalation to the core QC team.
- Maintain accurate QC records in line with applicable procedures.
- Ensure all inspection output is available for core QC team review and sign-off prior to finalisation.
- Apply the appropriate quality standard per study type: standard internal criteria for non-clinical and archive work; expedited turnaround for Clinical QC given patient care implications; 100% inspection to regulatory standard for GLP studies, delivered against agreed milestones.
Case Control – Ticket Handling
- Provide first response, triage, and resolution of standard query types within the case management ticket platform.
- Escalate complex, clinical, or non-standard cases to the core internal Case Control team in line with defined escalation protocols.
- Deliver out-of-hours and weekend ticket coverage to reduce resolution times.
- Maintain accurate ticket records and activity logs, working toward agreed first-response and resolution targets.
Transcription and Verification
- Review AI-extracted clinical request card data, including demographics, clinical information, and specimen details, against source documents within the clinical information system.
- Make corrections where extracted data does not accurately reflect the source document.
- Flag incomplete, ambiguous, illegible, or anomalous request cards for escalation.
- Mark verified cases as complete and maintain an accurate activity log for audit trail purposes.
- Apply attention to detail and familiarity with clinical data formats to recognise and escalate anomalies; this is a quality-check function, not data entry.
Cross-Training and Allocation
- Complete cross-training across all three functions, QC Slide Inspection, Case Control, and Transcription and Verification, prior to independent working on any single function.
- Work flexibly across functions based on dynamic, demand-led allocation directed by the line manager at the start of each shift, according to live queue volumes and operational priority.
- Escalate complex case management, clinical escalations, and regulatory queries to the appropriate internal team, as these remain the responsibility of internal staff.
Working Hours and Shift Coverage
- Work a scheduled shift rotation, which may include evenings, nights, and weekends, to extend coverage beyond standard business hours across all three functions.
- Provide 24/7 coverage for Clinical QC inspection, in line with its sub-2-hour target resolution time and direct patient care implications.
- Provide extended-hours and weekend coverage for non-clinical and GLP QC inspection, Case Control ticket handling, and Transcription and Verification, maintaining meaningful overlap with GMT/IST business hours.
- Support handover between shifts to ensure continuity of open queues, tickets, and cases.
Required Skills and Experience
- High attention to detail and accuracy, required across all three functions.
- Proficiency in English, written and verbal; all platforms, records, and escalations are conducted in English.
- Ability to work methodically to defined procedures and quality criteria.
- Familiarity with data entry, verification, and quality-checking workflows.
- Comfort working within clinical or regulated data environments, or a demonstrable ability to learn quickly.
- Prior experience in digital pathology, medical imaging, or life sciences data processing is desirable.
- Experience working in a GLP or GxP-regulated environment is desirable.
- Familiarity with clinical request card formats or medical record data is desirable.
- Experience using ticketing or case management platforms, such as HubSpot or similar, is desirable.
Soft Skills
- High attention to detail and accuracy, with the ability to maintain quality standards at volume.
- Strong written and verbal communication skills in English.
- Organised and diligent, with the ability to manage multiple priorities across three functions and meet turnaround targets.
- Comfortable working extended hours, including evenings and weekends, as part of a dynamic shift allocation model.
- Motivated, independent worker who takes ownership of quality outcomes.
- Proactive in flagging issues and escalating appropriately rather than guessing.
