Job Summary:

We seek a Property Manager Assistant to provide comprehensive administrative support to our client. The ideal candidate will be proficient in various administrative tasks, including email management, document creation, calendar management, client communication, vendor interaction, and data entry. The ability to work independently and manage multiple tasks and managers is essential.

Responsibilities:

  • Email Management: Monitor and manage email boxes, ensuring timely responses and organization of incoming correspondence.

  • Document Creation: Draft and create letters, memos, and other documents as the team requires.

  • Bylaw Infractions: Handle bylaw infractions in accordance with company policies and procedures.

  • Document Organization: Upload and organize documents in relevant platforms or systems.

  • Calendar Management: Manage calendars, scheduling appointments, meetings, and other events for the team.

  • Client Communication: Communicate promptly and professionally with clients to address service requests and inquiries.

  • Vendor Interaction: Obtain and send out vendor quotes as requested by the team.

  • Data Entry: Perform data entry tasks using Condo Control Central, Condo Manager, and Excel sheets accurately and efficiently.



Requirements

Must Haves:

  • Industry Familiarity: Familiarity with property management or a similar industry is preferred.

  • Email Management: Proficiency in managing and organizing emails.

  • Writing Skills: Strong writing skills with the ability to create professional documents.

  • Proficiency in ChatGPT: Experience and proficiency in using ChatGPT or similar AI tools for efficient task management and communication.

  • Communication Skills: Excellent communication skills, both written and verbal.

  • Independence: Ability to work independently with minimal supervision.

  • Multi-Tasking: Capable of handling multiple tasks and managing several managers simultaneously.

Nice-to-have:

  • Microsoft Office Suite: Strong proficiency in Microsoft Office Suite, particularly Excel.

  • Software Experience: Experience with Condo Control Central and Condo Manager software is a plus.
