Position Overview

The Project Coordinator will serve as the operational hub for the firm’s bookkeeping team, coordinating recurring monthly, quarterly, and annual client work across multiple bookkeepers and reviewers.

Using Canopy practice management software, the Project Coordinator will plan workflows, delegate and follow up on bookkeeping tasks, monitor team capacity, track client information requests, anticipate bottlenecks, and keep engagements moving through completion.

Tax-related coordination may occasionally be required, but the primary focus is bookkeeping workflow management and task delegation.

The ideal candidate is a proactive planner and self-starter who takes ownership, acts with initiative, communicates clearly, and follows through without constant direction.


Key Responsibilities

  • Bookkeeping Workflow Management: Coordinate recurring bookkeeping projects through Canopy and maintain accurate schedules, priorities, and deadlines.
  • Task Delegation: Assign bookkeeping tasks based on team capacity, skills, and workload.
  • Proactive Planning: Plan weekly, monthly, and quarterly workloads to ensure timely completion.
  • Canopy Administration: Manage projects, recurring tasks, due dates, templates, and workflow updates in Canopy.
  • Client Document Tracking: Monitor and follow up on missing client information and supporting documents.
  • Deadline Management: Track progress, address bottlenecks, and escalate issues before deadlines are affected.
  • Team Utilization: Balance workloads and help maximize team efficiency.
  • Quality Control Coordination: Ensure work is reviewed, completed accurately, and ready for client delivery.
  • Communication and Follow-Up: Coordinate through Outlook, Microsoft Teams, and Canopy, and provide regular status updates.
  • Process Improvement: Recommend and implement workflow improvements, templates, and automations.
  • Reporting: Track KPIs, workload status, turnaround times, and team utilization.


Qualifications

  • Bachelor’s degree in accounting, finance, business administration, operations, project management, or a related field preferred; equivalent relevant experience will be considered.
  • At least 2 years of experience in project coordination, bookkeeping operations, accounting workflow coordination, client-service operations, or administrative project support.
  • Demonstrated ability to manage a large volume of concurrent and recurring tasks, competing priorities, deadlines, and multiple stakeholders with strong accuracy and follow-through.
  • Experience using Canopy is highly preferred. Experience with a comparable accounting practice management, workflow, or project management platform is acceptable if the candidate can learn Canopy quickly.
  • Strong proficiency in Microsoft Outlook, Teams, and Excel, including calendars, shared communications, task follow-up, and basic reporting or data analysis.
  • Excellent written and verbal English communication skills, with the confidence to clarify ownership, request updates, send reminders, and escalate concerns professionally.

  • Composure Under Pressure: Maintains accuracy, professionalism, and sound judgment during month-end, quarter-end, year-end, and other peak workload periods.
