Allegheny Science & Technology (AST) is seeking an organized and detail-oriented Program Coordinator to support AST's role in an upcoming federal program, contingent upon award and successful negotiation of a subcontract. This position will provide day-to-day coordination and administrative support for AST's responsibilities across multiple workstreams, helping ensure effective program execution, stakeholder engagement, technical assistance activities, and operational coordination in support of a national initiative designed to expand artificial intelligence (AI) readiness across the United States.

Working collaboratively with the AST Project Manager / Task Lead, the project prime contractor, partner organizations, and the client, the Program Coordinator will support planning, communications, meeting coordination, documentation, reporting, and project logistics while helping maintain schedules, deliverables, and collaborative activities across a geographically dispersed team.

This is a contingent position. Employment is contingent upon AST's successful negotiation of a subcontract and subsequent award.

Position is remote. Periodic travel within the United States may be required to support partner meetings, workshops, technical assistance activities, and annual convenings.

Duties & Responsibilities:

  • Coordinate day-to-day execution of project activities across multiple workstreams.

  • Schedule and coordinate meetings, workshops, webinars, Communities of Practice, and stakeholder engagement activities.

  • Prepare meeting agendas, presentation materials, meeting summaries, and track action items through completion.

  • Coordinate project communications among AST staff, the prime contractor, partner organizations, and client representatives.

  • Maintain project schedules, deliverable trackers, documentation, and shared collaboration sites.

  • Support onboarding activities for Coordination Hubs, project partners, reviewers, and other participants.

  • Coordinate logistics for technical assistance activities, Communities of Practice, workshops, and annual convenings.

  • Assist with development, formatting, editing, and quality review of reports, presentations, briefing materials, and other project documentation.

  • Maintain project records, knowledge repositories, and document control systems.

  • Support recurring reporting activities, performance tracking, and deliverable coordination.

  • Assist with travel coordination, event logistics, and other administrative activities as required.

  • Perform other duties as assigned.

Required Qualifications:

  • Bachelor's degree in business, public administration, communications, organizational leadership, project management, or a related field.

  • Two (2) to five (5) years of experience supporting complex projects, programs, or multidisciplinary teams.

  • Experience coordinating meetings, schedules, project documentation, and stakeholder communications.

  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.

  • Excellent written, verbal, and interpersonal communication skills.

  • Demonstrated attention to detail and ability to produce high-quality work products.

  • Ability to work independently while collaborating effectively with geographically dispersed teams.

  • Proficiency with Microsoft Office 365 applications, including Teams, Outlook, Word, Excel, PowerPoint, SharePoint, and other collaboration tools.

  • U.S. Citizenship is required.

Desired Qualifications:

  • Experience supporting federal contracts or federally funded programs.

  • Experience coordinating technical assistance activities, workshops, conferences, Communities of Practice, or stakeholder engagement initiatives.

  • Experience supporting project management, reporting, or performance tracking activities.

  • Familiarity with project management software, collaboration platforms, and document management systems.

  • Experience supporting AI, advanced technology, workforce development, regional innovation, or economic development initiatives.

Additional Information:

  • Position is contingent upon award and execution of a subcontract.

  • Employment is expected to begin following contract award and successful subcontract negotiation.

These include, but are not limited to, relevant work experience, skills, certifications, and competencies that align with the specific role, geographic location, educational background, and contract provisions related to labor categories specific to the position. We are committed to offering a competitive compensation package that reflects the value and expertise that each candidate brings to our team.

The pay range for this position based on full-time employment is $70,000 - $85,000.
