Job Summary:
The People Operations Specialist is responsible for supporting the administration, coordination, documentation, and execution of core People Operations processes. This position assists with onboarding, employee records management, HRIS administration, benefits administration support, training records, compliance documentation, reporting, and workforce data management.
The People Operations Specialist works closely with employees, managers, People Operations staff, and external vendors to ensure workforce information remains accurate, compliant, and properly maintained. This role serves as a primary resource for HR administrative support and contributes to the overall effectiveness of workforce operations.
The position plays a critical role in maintaining organizational compliance, supporting employee lifecycle activities, and delivering a positive employee experience.

Duties / Responsibilities
Employee Records Administration
- Maintain employee personnel files and workforce records.
- Ensure workforce documentation is accurate, complete, and compliant.
- Manage document retention and recordkeeping requirements.
- Process employee status changes and updates.
- Maintain confidentiality of employee information.
HRIS Administration
- Maintain workforce information within HRIS platforms.
- Process employee data updates and organizational changes.
- Generate workforce reports and analytics.
- Support HRIS troubleshooting and data integrity initiatives.
- Assist with system improvements and process enhancements.
Onboarding Administration
- Coordinate onboarding activities for new hires.
- Prepare onboarding documentation and employment forms.
- Ensure completion of pre-employment requirements.
- Coordinate orientation schedules and onboarding activities.
- Support positive new hire experiences.
Benefits Administration Support
- Assist employees with benefits enrollment activities.
- Coordinate benefits documentation and employee communications.
- Support annual enrollment processes.
- Maintain benefits records and reporting.
- Coordinate with external benefits providers as needed.
Training & Certification Administration
- Maintain employee training records.
- Track required certifications, licenses, and workforce qualifications.
- Monitor training completion and expiration dates.
- Support compliance reporting related to workforce readiness.
- Coordinate employee training documentation.
Compliance Documentation
- Maintain required workforce compliance documentation.
- Support employment eligibility verification processes.
- Assist with audit preparation and compliance reviews.
- Maintain required employment records.
- Support policy administration activities.
Workforce Reporting
- Prepare workforce reports and HR metrics.
- Support turnover, retention, hiring, and workforce analytics reporting.
- Maintain workforce dashboards and reporting tools.
- Assist leadership with workforce data requests.
- Ensure accuracy and integrity of workforce information.
Employee Support
- Respond to routine employee inquiries.
- Assist employees with workforce-related administrative requests.
- Support employee communications and information distribution.
- Coordinate workforce documentation requests.
- Promote responsive customer service and professionalism.
Continuous Improvement
- Identify opportunities to improve People Operations processes.
- Support workflow automation and efficiency initiatives.
- Participate in professional development activities.
- Assist with policy and procedure improvements.
- Promote operational excellence and service quality.

Education and Experience
- High school diploma or equivalent required.
- Associate degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 2 years of administrative, HR support, office administration, or related experience preferred.
- Experience maintaining confidential records and documentation preferred.
- Experience working with HRIS platforms preferred.
- Experience supporting employee onboarding and workforce administration preferred.

- SHRM Certified Professional (SHRM-CP) (working toward certification)
- Human Resources Certificate Program
