Spartan Fitness Holdings is seeking a Payroll Administrator who thrives in a fast-paced, complex payroll environment. The ideal candidate will have 1–3+ years of experience supporting a franchise, multi-unit, or similarly decentralized organization, with exposure to multi-state payroll, high-volume hourly workforces, complex timekeeping, commissions, and other variable compensation. Experience partnering directly with field and operations leaders is highly valued, and prior experience within the fitness or wellness franchise industry—along with familiarity with Paycor, Paywell, and/or ClubReady—is strongly preferred. Position Summary
The Payroll Administrator is responsible for accurate and timely bi-weekly payroll processing while serving as the primary payroll partner for assigned territories. This role combines payroll administration with operational support, helping Regional Managers, General Managers, and studio leaders navigate timekeeping, payroll processes, compliance, and best practices.
Key Responsibilities
- Process accurate bi-weekly payroll for assigned territories.
- Audit timecards, earnings, deductions, taxes, and payroll changes.
- Research and resolve payroll discrepancies and employee inquiries.
- Partner with Regional Managers and General Managers to support payroll operations.
- Coach leaders on timekeeping, payroll policies, and payroll best practices.
- Train field leaders on payroll procedures and system functionality.
- Ensure compliance with federal, state, and local wage and hour laws.
- Support multi-state payroll processing and compliance.
- Assist with payroll reconciliations, reporting, garnishments, tax notices, and audits.
- Identify process improvements and support payroll-related projects.
- Maintain confidential employee payroll records.
Qualifications
Required
- 1–3 years of payroll experience.
- Experience processing payroll using an HRIS or payroll platform.
- Strong attention to detail and organizational skills.
- Excellent customer service and communication skills.
- Intermediate Microsoft Excel skills.
- Ability to manage multiple priorities and meet deadlines.
Preferred
- Experience supporting a franchise or multi-location organization.
- Multi-state payroll experience.
- Experience with ClubReady, Paywell, and Paycor preferred.
- Knowledge of wage and hour compliance.
- FPC certification or interest in obtaining certification.
