Job Details: Job Location: Remote - , CA, Salary Range: $20.00 - $20.00Hourly,   Marketing & Communications Assistant  Job Description   Position Title: Marketing & Communications Assistant Reports To: Marketing & Communications Coordinator or Designee  FLSA Status: Hourly Non-Exempt Classification:  Classified - Part-Time Work Schedule: Year- Round  Compensation: Starting at $20.00 per hour  Location:  Remote - Travel May Be Required     Position Summary:  Under the direction of the Marketing & Communications Coordinator or designee, the Marketing & Communications Assistant provides administrative, logistical, and communications support for schoolwide marketing, family communications, field trips, events, and related student and family engagement activities. This is a supportive classified position responsible for assisting with established processes, preparing and organizing materials, maintaining records, supporting registration and communication workflows, and completing assigned projects. The position does not supervise employees or independently establish department procedures, approve communications, or make programmatic decisions. The Marketing & Communications Assistant works collaboratively with school staff and departments to help ensure that information provided to students and families is timely, accurate, organized, family-friendly, and consistent with Elite Academic Academy's communication and brand standards.  ESSENTIAL DUTIES AND RESPONSIBILITIES  Marketing & Communications Support  Provide administrative and project support to the Marketing & Communications Coordinator and department.  Assist with preparing, formatting, proofreading, and distributing schoolwide communications.  Support the development of family-friendly messaging for school programs, events, activities, opportunities, and announcements.  Assist with gathering information, photographs, content, and other materials needed for marketing and communication projects. Help organize and maintain digital files, communication calendars, registration information, photographs, and other department records.  Assist with schoolwide marketing and communication projects as assigned.  Support the development and coordination of the school yearbook, including gathering photographs, organizing content, and assisting with communication and submission timelines.  Complete other related duties as assigned.  Field Trip & Event Setup Support  Assist staff with the administrative and logistical setup of schoolwide field trips, events, and student activities.  Support the creation and organization of field trip registration forms and related materials.  Assist with gathering and organizing event information, including dates, locations, grade levels, capacity, costs, registration deadlines, cancellation information, and family expectations.  Support registration processes by monitoring submissions and organizing registration information.  Transfer, organize, and maintain registration data from JotForm or other approved platforms into Monday.com or other school systems.  Assist with maintaining participant lists, waitlists, attendance information, and other event-related records.  Prepare student rosters, manifests, check-in materials, medical notes or information provided through approved school processes, and other materials needed by designated staff.  Assist with preparing and distributing calendar invitations, staff information, schedules, directions, and logistical details.  Support communication with venues and community partners regarding routine logistical information at the direction of the Marketing & Communications Coordinator or other designated staff.  Assist with tracking deadlines and completing follow-up tasks related to field trip and event preparation.  Help ensure field trip records and materials are organized and available to appropriate staff.  Provide day-of-event administrative or logistical support when assigned.  Refer questions, concerns, exceptions, or decisions requiring administrative approval to the appropriate supervisor or designated staff member.  Field Trip & Event Communications  Assist with preparing student and parent communications for schoolwide field trips and events. Support the distribution of registration announcements, reminders, confirmations, waitlist notices, event instructions, and follow-up communications.  Help ensure families receive clear and timely information throughout the registration and event process.  Assist with maintaining consistent messaging across announcements, registration materials, reminders, and follow-up communications.  Gather information from appropriate departments and staff to ensure communications contain accurate event details.  Make approved updates to communications when event details, availability, deadlines, or other information changes.  Direct questions or concerns requiring programmatic or administrative decisions to the appropriate staff member.  ParentSquare Communications Support  Prepare and publish approved ParentSquare communications related to field trips, events, student opportunities, and other schoolwide activities under the direction of the Marketing & Communications Coordinator or designee.  Draft clear, engaging, and family-friendly messaging using information provided by appropriate school staff.  Include relevant information such as eligibility, grade levels, registration instructions, costs, deadlines, cancellation policies, event expectations, registration links, and calls to action.  Proofread communications for spelling, grammar, accuracy, clarity, formatting, and consistency.  Follow established schoolwide communication and brand standards.  Coordinate the timing of approved ParentSquare communications with registration timelines and other scheduled communications.  Assist with distributing updated or follow-up communications when information changes. Maintain organized records of communications and related registration materials as directed.  General Responsibilities  Provide positive and professional customer service to students, families, staff, vendors, and community partners.  Follow established school procedures, communication protocols, and approval processes.  Maintain accurate and organized records.  Protect confidential student, family, and employee information in accordance with school procedures and applicable requirements.  Use school technology systems appropriately and maintain confidentiality of information accessed through those systems.  Communicate questions, concerns, or potential errors to the appropriate supervisor. Work collaboratively with staff across departments while remaining within the scope of assigned responsibilities.  Perform other related duties as assigned.  Qualifications  Knowledge and Skills  Strong written and verbal communication skills.  Excellent organizational skills and attention to detail.  Ability to manage multiple assigned tasks, deadlines, and priorities.  Strong proofreading and basic writing skills.  Ability to follow established procedures, instructions, templates, and communication standards.  Comfortable using technology and learning new digital platforms and systems.  Basic proficiency with Google Workspace, Microsoft Office, or similar productivity tools.  Experience with or willingness to learn platforms such as ParentSquare, Monday.com, JotForm, Canva, and other school communication and project-management systems. Ability to communicate professionally and positively with students, families, staff, vendors, and community partners.  Strong customer service and interpersonal skills.  Ability to recognize when a question or issue should be referred to a supervisor or other designated employee.  Dependable and able to complete assigned tasks independently after receiving appropriate direction.  Ability to maintain confidentiality and appropriately handle student and family information.  Education and Experience  High school diploma or equivalent preferred.  Previous experience in an educational, administrative, communications, marketing, customer service, event support, or office setting is desirable but not required.  Equivalent combinations of education, training, and experience that demonstrate the ability to perform the duties of the position may be considered.
