Hours: Up to 25 hours per week
Temporary: 18 weeks

Overview:

Public Label is looking to add a Activation Support Coordinator to our team to help to support experiential activations across the US. This is a remote, administrative and operational support position. The Activation Support Coordinator supports activations across multiple markets and is not expected to routinely travel to event locations or manage local event logistics in person. The role requires comfort making decisions and solving problems in real time within established program guidelines. Issues that cannot be resolved within those guidelines should be quickly escalated to the appropriate Account, Field, or Operations lead.

Essential Duties and Responsibilities (Other duties may be assigned)

  • Provide day-to-day administrative and operational support for experiential programs and scheduled brand activations across multiple markets.
  • Use Public Label's proprietary Event Management Interface (EMI) as the primary source of record for event planning, staffing, scheduling, event details, status updates, and post-event information.
  • Review upcoming events in EMI to ensure required planning details are complete and accurate, including event date and time, location information, staffing assignments, brand/program information, event requirements, and other execution details.
  • Conduct confirmation calls with event locations in advance of each activation to verify event date, timing, location requirements, point of contact, and other critical execution details.
  • Confirm assigned field staff prior to each event and ensure they have received the information, training, and event details required to execute successfully.
  • Track staff confirmations and proactively follow up with individuals who have not responded or completed required pre-event steps.
  • Coordinate last-minute staffing changes, including identifying and securing qualified backup staff when a scheduled Brand Ambassador or other field team member becomes unavailable.
  • Maintain visibility into upcoming event schedules and proactively flag staffing gaps, incomplete event details, missing information, or other risks that could impact execution.
  • Serve as a day-to-day point of contact for field staff before and during scheduled activations, helping troubleshoot executional questions and escalating issues when necessary.
  • Respond to event cancellations, postponements, or significant changes by updating EMI, notifying affected field staff and internal teams, documenting the reason for the change, and coordinating required next steps.
  • Troubleshoot event-day issues remotely, including missing POS or event materials, incorrect event information, location questions, staffing issues, or other circumstances that may prevent the activation from executing as planned.
  • When event materials are missing or incomplete, work with the Brand Ambassador to determine whether the event can proceed, identify an approved alternative solution, or escalate the issue for a decision.
  • Maintain clear and timely communication with Account, Field, Operations, Staffing, and Logistics teams regarding event changes, executional risks, and issues requiring follow-up.
  • Ensure changes to event details, staffing, cancellations, and execution status are accurately reflected in EMI so the platform remains the current source of record.
  • Monitor completion of post-event requirements, including event recaps, photos, required documentation, and other reporting information, and follow up with field staff on outstanding submissions.
  • Support maintenance of program calendars, staffing schedules, event trackers, and other administrative tools required to manage a high volume of activations.
  • Assist with field staff onboarding, training coordination, reminders, and ongoing communication of program standards and executional best practices.
  • Document recurring field or operational issues and communicate trends to the appropriate manager so processes, training, or event planning can be improved.
  • Support additional administrative and operational needs required to ensure executional excellence across National Programs, Regional Programs, and ad hoc events.

  • Willingness to work a flexible schedule, including evenings and weekends
    • (Late night & Weekend shifts are mandatory) 
  • Administrative experience with exception attention to detail
  • Experience in field marketing, lifestyle marketing or brand experiences
  • Experience in special event planning and execution
  • 3-5 years being immersed in the community/city you live in
  • Local area residency or the ability to commute into the city regularly
  • Experience with alcohol marketing strongly preferred
  • Organization and problem-solving skills VERY important
  • Estimated 20 - 25 hours per week, Friday - Tuesday

Education

  • Bachelor’s degree or equivalency experience is strongly preferred
