Job Title: Ordering Specialist: Homeschool
Reports to: Homeschool Operations Director or Administrative Designee
Location: Taylion High Desert Academy / Remote Position
Summary
The Ordering Specialist at Taylion High Desert Academy is responsible for managing and coordinating the ordering process for homeschool students and families. This position involves collaborating with vendors, families, and staff to ensure timely and accurate procurement of educational materials, resources, and supplies. The role requires excellent organizational skills, attention to detail, and strong communication abilities to meet the needs of homeschooling families and comply with school policies and budgetary guidelines.
Representative Duties
•Coordinate and process orders for homeschool students, including educational materials,supplies, and resources.
•Act as a liaison between homeschool families, vendors, and internal departments to ensuresmooth ordering processes.
•Track, review, and process order requests to ensure they comply with school policies,budgets, and guidelines.
•Communicate order statuses, delivery timelines, and any delays or issues with families andstaff.
•Resolve issues related to vendor discrepancies, damaged goods, or returns.
•Maintain detailed records of orders, deliveries, and budgets for individual homeschoolstudents. Assist in developing and improving ordering processes to enhance efficiency andaccuracy.
•Collaborate with other departments such as Accounts Payable and Vendor Specialists toensure accurate documentation and payment processing.
•Perform other duties as assigned by the Director of Business Services.
Essential Functions
•Process and track orders for educational materials and supplies for homeschool students.
•Ensure that all orders are compliant with school purchasing policies, vendor agreements, andbudget limitations.
•Monitor inventory levels, delivery times, and backorders, ensuring prompt resolution of anyissues.
•Communicate regularly with homeschool families regarding order requests, statuses, anddelivery timelines.
•Maintain accurate records and documentation related to all orders and assist in budgetmanagement for homeschooling resources.
•Provide support to homeschool families and staff by answering questions and resolving order-related concerns.
Required Skills/Abilities
•Strong organizational skills and attention to detail.
•Excellent communication and customer service skills, especially in dealing with families andvendors.
•Ability to manage multiple tasks and deadlines efficiently in a fast-paced environment.
•Proficiency with ordering systems, inventory management, and Microsoft Office software.
•Problem-solving abilities to resolve order discrepancies or vendor issues.
•Understanding of school procurement processes, policies, and budget management.
•Ability to work collaboratively with families, vendors, and internal teams.
Education and Experience
•High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business,Supply Chain Management, or related field preferred.
•Minimum of 2 years of experience in ordering, procurement, or related roles.
•Experience working in an educational setting or with homeschool programs is highly desirable.
•Familiarity with vendor management and inventory tracking software is a plus.
Work Environment & Physical Demands Office Environment
Work involves sitting most of the workday greater than 50% of the time. Walking and standing are required only occasionally. Typing and applying pressure with the fingers and palm required. Substantial repetitive movements (motions) of the wrists, hands, and/or fingers. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading, primarily on a computer monitor. Occasional travel required for offsite meetings and events. Normally less than 10% of the time.
