The client is seeking a highly organized, systems-driven Operations & Engineering Systems Coordinator to support business operations, streamline processes, and assist with technical and administrative functions. This role goes beyond a traditional Personal Assistant position — we are looking for someone who can help manage the overall business, take ownership of workflows, implement systems, support project delivery, and create
structured documentation while working closely with leadership. The ideal candidate will have excellent English communication skills, along with a strong working understanding of construction engineering and drafting. Exposure to mechanical systems and HVAC is highly preferred

Key Responsibilities
Business & Operations Support
  • Assist in managing day-to-day business operations and executive workflows
  • Coordinate tasks, schedules, and priorities across multiple projects
  • Support timekeeping, reporting, and resource tracking
  • Identify inefficiencies and recommend process improvements
  • Act as a key support partner in helping manage and organize the business
Systems & Process Implementation
  • Develop, implement, and maintain business systems and workflows
  • Create and manage company management plans and operational procedures
  • Support automation and digital transformation initiatives
  • Ensure alignment with industry standards and internal processes
Data, Reporting & Analysis
  • Build and maintain Excel-based tracking tools and dashboards
  • Develop reports using Power BI for business insights and decision-making
  • Monitor KPIs and operational performance metrics
Compliance & Documentation
  • Assist with implementation and maintenance of:
    • ISO 9001 (Quality Management)
    • ISO 19650 (Information Management / BIM
    • ISO 45001 (Occupational Health & Safety)
  • Create, format, and manage professional documentation including:
    • Policies & procedures
    • Reports and templates
    • Smart PDFs and structured documents
Technical & Project Support
  • Provide support to engineering and drafting teams
  • Coordinate documentation for construction and engineering projects
  • Assist in reviewing technical content and ensuring accuracy
  • Work with mechanical and HVAC-related documentation where applicable

Requirements

What You Bring
We’re looking for someone who:
  • Strong proficiency in:
    • Microsoft Excel (advanced level)
    • Power BI
  • Experience with:
    • Time tracking systems and reporting
    • Process improvement and system implementation
  • Familiarity with ISO standards (ISO 9001, ISO 19650, ISO 45001)
  • Excellent written and spoken English communication skills (clear and professional)
  • Strong understanding of construction engineering and drafting concepts
  • Highly organized with strong attention to detail
  • Ability to work independently and manage multiple priorities
Preferred Qualifications
  • Background in construction, engineering, or drafting
  • Experience in mechanical systems and HVAC
  • Familiarity with BIM processes or engineering workflows
  • Experience creating automated workflows or digital systems
  • Knowledge of project management tools or methodologies
