Position Summary
ExeQut is hiring a proactive, highly organized, and dependable Operations Coordinator to independently manage operational requests and coordinate work across multiple departments. You will take ownership of assignments from initial request through completion, coordinating across legal, finance, IT, HR, administrative, and leadership teams. This role does not initially require direct people management, but it does require strong coordination, initiative, decision-making, and project leadership skills.
What You Will Do
- Receive, organize, prioritize, and track internal operational requests
- Coordinate requests involving the legal, finance, IT, HR, subscription, vendor, and administrative functions
- Follow up with internal teams, consultants, attorneys, accountants, vendors, and service providers until requests are completed
- Support the planning and launch of new internal projects and company initiatives
- Create project plans, timelines, task lists, meeting notes, and action-item trackers
- Monitor project progress, deadlines, dependencies, risks, and outstanding decisions
- Assist with creating and maintaining company policies, SOPs, workflows, checklists, templates, and internal documentation
- Coordinate contract reviews, signatures, renewals, legal documents, and compliance-related requests
- Support finance-related processes, including invoices, approvals, vendor setup, supporting documentation, and payment follow-ups
- Manage and track company subscriptions, software licenses, users, renewal dates, costs, and account ownership
- Coordinate employee IT requests, system access, software access, onboarding, and offboarding tasks
- Communicate status updates to leadership and escalate urgent or unresolved matters
- Maintain accurate and confidential records involving company, employee, legal, and financial information
- Identify opportunities to improve processes, reduce unnecessary costs, and increase operational efficiency
- Help reduce the number of routine operational requests requiring direct leadership involvement
Required Qualifications
- 3+ years of experience in operations, project coordination, business administration, executive support, or a related role (preferred)
- Experience working with legal, finance, IT, vendors, subscriptions, or cross-functional projects highly desirable
- Bachelor's degree in business administration, management, operations, or a related field preferred, but not required with relevant experience
Preferred Qualifications
- Project management or process-improvement certifications such as CAPM, PMP, Scrum, or Lean Six Sigma

- Strong communication, organization, time-management, problem-solving, and follow-up skills
- Detail-oriented, professional, resourceful, and comfortable managing multiple priorities at once
- Good judgment, confidentiality, accountability, and ability to work independently with limited supervision
- Professional fluency in written and spoken English; Arabic preferred but not required
- Comfortable coordinating across legal, finance, IT, HR, administrative, and leadership teams
Work Timings
- Regular overlap with U.S. Eastern Time business hours required
- Generally, Monday–Friday, with approximately 4–6 hours of daily overlap between 9:00 AM and 5:00 PM ET
- Occasional flexibility required for urgent requests, meetings, or project deadlines
