ROLE OVERVIEW

About the Client

The client is an innovative language-learning startup preparing to disrupt the education space. Their unique approach centers on a proprietary learning method paired with a physical planner kit. As they gear up for the official launch this August, they are looking for a versatile, sharp, and proactive "All-Rounder" Virtual Assistant to help them build their digital foundation, organize the operations, and get them ready to take bookings.

About the Role

As our All-Rounder VA, you will act as the founder’s right hand, bridging the gap between digital marketing, design, daily administration, and launch logistics for a disruptive new language-learning methodology and product kit company.


KEY RESPONSIBILITIES

Tech, Systems & Admin Support

Website Support

  • Assist with building, configuring, and maintaining our website setup ahead of launch, specifically optimizing our Shopify platform.

Workspace Architecture

  • Structure and organize our company Notion workspace and Google Workspace to ensure smooth, transparent daily operations.

Process Documentation

  • Create, write, and organize clean Standard Operating Procedures (SOPs) for current and future workflows.

Basic Bookkeeping

  • Assist with day-to-day financial tracking, managing expenses, and basic data entry utilizing tools like QuickBooks.

Marketing, Design & Launch Operations

Marketing Support

  • Assist with marketing strategy execution, content coordination, and managing digital marketing tools.

General Design

  • Provide creative and administrative design support for various physical products (such as our language starter kits/planners), website assets, and marketing materials.

Logistics & Vendor Research

  • Research vendor options and Third-Party Logistics (3PL) providers for our physical product distribution.

Event & Workshop Support

  • Provide operational and administrative support for our Phase 1 client and corporate workshop delivery.

Client Relations & Intake

Lead Management

  • Respond to client inquiries, manage incoming intake forms, and contact leads proactively.

Scheduling & CRM

  • Manage calendar logistics and client relationship management to keep onboarding seamless.

QUALIFICATIONS & SKILLS

The "All-Rounder" Mindset

  • A versatile skillset with a proven ability to balance both creative/marketing tasks and administrative/systems tasks.

Organization & Financial Literacy

  • Deeply systems-minded with experience managing structured environments in Notion/Google Workspace, alongside a comfortable baseline understanding of basic bookkeeping and QuickBooks.

Design Eye

  • While you don't need to be a professional artist, you should be comfortable assisting with layout and basic asset design for digital and physical items.

Communication

  • Exceptional written and verbal communication skills in English.

Startup Ready & Intuitive

  • Comfortable working in a fast-paced, pre-launch environment where priorities can shift.
  • You can quickly learn the founder's preferences and how they like things done, but you aren't afraid to speak up and offer your own creative solutions.

Autonomy

  • A proactive self-starter who can drive tasks to completion independently with minimal hand-holding.

Flexibility

  • Able to commit to a part-time schedule (~20 hours/week) to start, with the availability and flexibility to scale hours up as the business grows post-launch.
