The Operations Administrator is responsible for the accurate and timely processing of bulk delivery, cylinder exchange, meter, and service work order transactions. Ensures billing accuracy, maintains customer and asset records, reconciles discrepancies, and supports operational efficiency through effective collaboration with field and district teams.

What you'll do:

  • Process and post bulk delivery, cylinder exchange, meter, and service work order transactions accurately and within established timelines.
  • Review, research, and resolve posting exceptions, billing discrepancies, and open work orders.
  • Perform credit/rebill transactions as needed to maintain billing accuracy.
  • Validate customer, asset, and transaction data to ensure system integrity and compliance with company standards.
  • Reconcile inventory and operational transactions, investigate variances, and complete month-end processing activities.
  • Collaborate with Service Coordinators, District Managers, and Operations personnel to resolve issues and support workflow efficiency.
  • Adhere to all company auditing policies, procedures, and internal controls.

What you bring:

  • High school diploma or GED, equivalent work experience in administrative or operations support roles or related fields. 
  • Minimum of one to three (1-3) years of work experience in operations, service coordination, or administrative support is an asset.  Experience with work order processing, inventory management, and conformity documentation.  Preferred familiarity with ERP systems and handheld data entry tools.  Prior exposure to cross-functional collaboration (Delivery, Service, Finance)
  • Strong attention to detail and accuracy in a high-volume transaction processing environment.
  • Ability to analyze, research, and resolve discrepancies independently.
  • Proficiency with business systems, billing processes, and data management.
  • Effective communication and collaboration skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Legal authorization to work in the United States

Working Conditions

  • Work from home.
  • Frequent use of computers, business applications, and communication systems.
  • Ability to manage fluctuating workloads and changing priorities.
  • Overtime is required during month-end and peak business periods.
  • Black Out periods during end of month

Key Performance Indicators

  • 1-2 days posting for Bulk Delivery, Cylinder Exchange and Meter transactions
  • 1-7 days posting for Service Work Orders

Reporting Relationship

  • Reports to Administration Manager and work closely with Key Internal Contacts
