Volcanix Automation is seeking an organized, proactive, and detail-oriented Onboard Coordinator and HR Assistant to manage Employee Lifecycle for our industrial automation teams.
Following a structured handover, you will take ownership of established HR processes and become the primary contact for routine employee questions. You will work closely with management, recruiting and operations. Employee Onboarding
Coordinate the onboarding process from offer acceptance through first-day readiness.
Prepare and route offer letters, employment agreements, and onboarding forms using approved templates.
Review required documentation for completeness and maintain onboarding trackers.
Submit employee information through client portals and follow up on site-access requirements.
Coordinate orientations, required training, start dates, and first-day instructions.
Communicate missing requirements and potential delays to the appropriate team.
Employment Compliance and Support
Maintain organized, accurate, and confidential employee files.
Process employee record updates, new-hire registrations, and separation documentation.
Serve as the first point of contact for routine questions about company policies, HR procedures, and benefits.
Coordinate benefits enrollment and employee updates with the appropriate providers or internal contacts.
Support offboarding, including documentation and coordination of outstanding employee requirements.
What We’re Looking For
Experience in HR administration, employee onboarding, or a similar coordination role.
Ability to manage multiple employees, assignments, and deadlines with consistent follow-through.
Strong attention to detail when reviewing contracts, employee information, and payroll inputs.
Professional communication skills and a helpful, responsive approach to employee support.
Discretion and sound judgment when handling confidential information.
Proficiency in Microsoft Outlook, Excel, Word, and shared document platforms.
Confidence using HR systems, client portals, and electronic document tools.
Ability to learn existing processes and assume daily responsibilities with increasing independence.
Preferred Qualifications
English communication skills.
Experience supporting staffing, manufacturing, industrial automation, or field-service teams.
Familiarity with benefits administration, and employee lifecycle processes.
Experience tracking immigration documentation or onboarding employees for client assignments.
What Success Looks Like
Employees receive clear guidance and timely support. Onboarding is completed before scheduled start dates, personnel records remain accurate, and payroll information is submitted on time. Management has visibility into pending requirements, while routine HR activities are handled reliably and independently.
