DESCRIPTION
Our client is a U.S.-based teleradiology practice that works closely with radiologists, clinics, hospital systems, and healthcare teams to support efficient medical imaging services and communication.
We are seeking a highly organized and dependable Medical Liaison and Operations Coordinator to serve as a central point of communication across the practice. This is a phone- and coordination-focused position that combines inbound call management, radiologist support, communication triage, and administrative assistance.
You will be responsible for answering incoming calls, determining what each caller needs, and efficiently connecting or routing them to the appropriate sales, recruitment, support, medical, or technical contact. You will also serve as an important liaison for radiologists, helping relay requests and coordinate communication between doctors, clinics, clients, and internal teams.
The ideal candidate has previous healthcare experience, excellent English communication skills, strong attention to detail, and the ability to remain calm and organized while managing multiple requests and stakeholders.

Key Responsibilities
Inbound Call Handling & Triage
- Answer and manage inbound company calls professionally and efficiently
- Identify the purpose and urgency of incoming calls
- Triage calls into the appropriate pipeline, including sales, recruitment, support, or medical/operational needs
- Connect callers with the appropriate department, team member, or radiologist
- Take accurate messages and ensure information reaches the correct person
- Maintain a professional and helpful experience for all callers
- Handle multiple incoming requests while prioritizing appropriately
- Follow established communication and escalation procedures
Radiologist Support & Medical Liaison
- Serve as a primary point of contact for radiologists when they need assistance from other members of the team
- Act as an intermediary between radiologists, clinics, hospital systems, technical teams, and internal departments
- Handle and coordinate phone calls on behalf of radiologists when they are unavailable or occupied
- Receive requests from radiologists and connect them with the appropriate team or resource
- Receive calls from clients or clinics that require assistance from a radiologist and coordinate the appropriate next step
- Relay messages, requests, and information accurately between multiple parties
- Help doctors quickly connect with the information, department, or individual they need
- Escalate urgent or complex concerns according to established procedures
- Maintain professionalism and confidentiality when handling healthcare-related communications
Administrative & Operations Support
- Provide general administrative support across sales, recruitment, support, medical, and operational departments
- Assist with communication coordination and follow-up between departments
- Help organize and manage requests that require involvement from multiple teams
- Perform administrative tasks that support the day-to-day operation of the practice
- Help reduce the administrative workload of the Operations Manager
- Take ownership of routine coordination and administrative responsibilities so leadership can focus on higher-level operational priorities
- Support additional administrative and coordination needs as assigned
- Maintain organized and accurate records of relevant calls, messages, and follow-up actions

Healthcare & HIPAA Requirements
- Familiarity with healthcare terminology and operational workflows
- Understanding of the importance of HIPAA compliance and patient confidentiality

- Willingness to complete required HIPAA and cybersecurity training
- Previous exposure to radiology or teleradiology operations is strongly preferred
- Ability to understand and appropriately coordinate requests involving medical professionals without independently providing clinical guidance
Systems & Tools
The role will work with:
- Grasshopper – VoIP/phone system
- Data Health – Healthcare/EHR-related platform; prior experience is not required
- Slack – Internal team communication
- Microsoft Office – Administrative and productivity tasks
Prior experience with Grasshopper is beneficial, but candidates should at minimum be comfortable learning and working with cloud-based VoIP and communication systems.

- Must be able to submit an NBI Clearance and/or Local Police Clearance before onboarding (mandatory)
- Must be available for video meetings with camera on when required
- Must be available to consistently work the assigned full-time shift
- Must maintain appropriate confidentiality and HIPAA-compliant work practices
