Position Summary

The Department of Pediatrics is seeking a highly organized, collaborative, and service-oriented Medical Education Program Specialist to join our Office of Education team. This full-time position supports our ACGME-accredited Pediatric Residency Program, one of the largest residency programs at the University of New Mexico, and plays an essential role in the educational experience of future pediatricians. Working alongside an experienced and supportive Medical Education team, you will partner with residents, faculty, chief residents, and program leadership to coordinate the daily operations of the residency program. From recruitment and onboarding to educational programming, accreditation, and resident support, your work will directly contribute to the success of physicians who will care for children and families throughout New Mexico and beyond.

This position offers the opportunity to build meaningful relationships with residents and faculty while supporting a collaborative educational environment dedicated to excellence in pediatric medical education. This position is ideal for someone who enjoys variety, values teamwork, and finds purpose in supporting the education of future physicians. Key responsibilities include:

 

  • Providing support to the Residency Director, Associate Directors, Program Manager, and 67 resident physicians.
  • Assist with program recruitment initiatives, including database maintenance, schedule and catering coordination, and facilitation of interview days.
  • Management of annual academic program calendar and events - resident onboarding, orientation, educational conferences, retreats, wellness activities and graduation.
  • Manage distribution and tracking of resident, faculty, rotation, conference, and program evaluations.
  • Managing specialized confidential databases for tracking resident training requirements, conference attendance, certifications, leave requests, projects and requests.
  • Providing administrative oversight of committees and recurring meetings, including schedule and location coordination, report preparation, and collection and maintenance of documentation.
  • Maintain resident files and documentation in accordance with the Accreditation Council of Graduate Medical Education (ACGME) and Graduate Medical Education (GME).
  • Monitor resident educational requirements, certifications, licensure, and required training.
  • Performing accounting activities such as purchases (via Purchasing Card and Purchase Orders) and reimbursements (via Chrome River) and tracking expenses.
  • Managing weekly resident school sessions, updating didactic calendar and curriculum changes, coordinating speakers and lecturers.
  • Coordinate visiting resident rotators
  • Assist with continuous quality improvement projects and implementation of program initiatives.
  • Providing support to and cross-training with other members of the Office of Education team, including the Pediatrics Clerkship program.
  • Performing a variety of general administrative tasks, such as filing, preparation of reports, and correspondence.
  • Learning and instituting all educational accreditation changes required by ACGME, GME and Medical Boards.
  • Serve as primary administrative liaison to internal and external departments and agencies pertaining to resident and program specific administration. This includes ACGME, GME Office, Learning Environment Office, Pediatric clinical departments, and Occupational Health.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Experience in Graduate Medical Education or similar setting.
  • Knowledge of ACGME residency or fellowship requirements.
  • Knowledge of HIPPA and FERPA regulations
  • Experience with UNM Banner Finance and Chrome River software, and institutional purchasing.
  • Experience with New Innovations or other equivalent residency tracking software.
  • Proficiency in the use of SmartSheets or Microsoft Sharepoint software or similar.
  • Experience in leadership, supervision, and training.
