Profile Requirements:

  • Min 1.5 years of loan processing experience within a mortgage brokerage environment.
  • Experience with Broker Engine and Flex (AFG) is essential.
  • Strong understanding of residential and commercial lending processes, policies, and documentation.
  • Excellent attention to detail, time management, and problem-solving skills.
  • Demonstrated ability to work independently with high accuracy and accountability.

Core responsibilities:

  • Loan Application Throughput – Complete a minimum of 1 full loan file per 4-hour block (target of 8 per week).
  • File Quality – Ensure each loan file is broker-ready and compliance-ready, including verified client documents, serviceability and policy checks, and submission to the correct lender.
  • Accuracy & Policy Alignment – Maintain error-free files that meet lender policy standards and do not require broker rework.
  • Independence & Initiative – Work autonomously within established company processes, proactively resolving issues without constant supervision.
  • Compliance Adherence – Maintain a minimum 90% compliance rate across all submissions, covering responsible lending, privacy, AML/CTF, and NCCP requirements.
  • Documentation Standards – Keep accurate file notes, signed credit guides, client discussions, and CRM/Broker Engine updates for every case.
  • Monthly Reporting – Submit a Monthly Compliance and Performance Report by the 5th business day, detailing submissions, approvals, settlements, compliance gaps, and improvement actions.
  • Communication & Escalation – Maintain professional communication, copy relevant stakeholders in key correspondence, and promptly escalate risks or delays with proposed solutions.
  • Daily Follow-Up & Activity Logging – Follow up daily with clients, lenders, and brokers; record all touchpoints in the CRM with timestamps and next actions; and submit a daily activity report.
  • System Accuracy – Keep Broker Engine, Flex (AFG), and CRM records up to date with accurate data entry, naming conventions, and real-time status updates.
  • Accreditation & Post-Settlement Support – Prepare lender accreditation forms, track submissions, and manage post-approval processes through to settlement and file closure.
  • Performance Metrics – Meet or exceed targets for loan volume, compliance (≥90%), accuracy, turnaround time, responsiveness (≤2 hours), and teamwork.
